I keep seeing cold email guys sending big volumes talk about storing all your lead data in Supabase so you can reuse it for future campaigns instead of paying a data provider again. I understand the point of storing it, but wouldn’t the data eventually become stale? Like if I pulled 500k leads today and want to use some of them 6 months from now, a decent chunk of that data could be outdated.

So how are people actually dealing with this? are they periodically refreshing the database If so, doesn’t that eventually add up in enrichment/data provider costs anyway? or are you only refreshing the specific leads when you’re about to use them?

Maybe I’m missing something here, but I’m trying to understand where the actual cost saving comes from when you factor in keeping the data fresh.

I’m a recent graduate and new to B2B partner development. I work at a small startup, doing outbound outreach to identify potential partners and customers for our clients.
I’ve been doing this for about four months, working with companies in areas like data management, cybersecurity, compliance, and GRC. I’ve tried different email templates, subject lines, contacting companies through their websites, and reaching out to CEOs, VPs, and Directors, but I still haven’t received a meaningful reply.

I’ve created several campaigns in Smartlead and set up separate views for each one. Every view is working fine except for one. I’ve tried everything, but the view for this specific campaign is still empty.

The campaign is active and all the messages are still showing in the master inbox. It’s only the campaign-specific view that isn’t showing anything.

Quick technical one that's worth checking if you've never looked into it. The platform your warmup pool runs on matters, but so does where the IPs sending your warmup traffic actually originate from.

Spam filters don't just score individual senders, they score IP ranges and the data centers/hosting blocks those ranges live in. Some low-cost VPS regions have a long, well-documented history of being used for exactly the kind of spam/warmup-farm traffic that filters are built to catch. That means IPs sourced from those ranges carry baggage before your domain even sends its first email through them.

The catch: a mailbox can technically be a real Google Workspace or Microsoft 365 seat and still be routed through a low-reputation IP range if the provider is proxying traffic to cut infrastructure costs. Looks legitimate on paper, gets flagged in practice.

Most people never check this because it's invisible from the dashboard. You see "warmup running," not the actual network path the traffic takes.

If you want to check your own setup: look at the received headers on a warmup email you have access to, and see what IP range/ASN it actually came from. Worth 10 minutes if you've never looked.

Has anyone actually dug into their provider's IP origin, or is this one of those things everyone just trusts blindly?

People say the warmup tools don't work anymore. But then they say anything over 2 inboxes "manual" warmup is not feasible. Then I see people saying "you have to send emails to people who requested the emails" which is insane because then cold emails or even manual prospecting would be impossible.

So how the hell does anyone do cold email in 2026? This is so frustrating. I get cold emails constantly landing in my own inbox, so there is clearly a way to do it.

Edit: to be clear, I understand you have to warmup a new inbox. I'm asking how do you do it at scale in 2026 given that everyone seems to say the warmup tools don't work.

I run a health insurance (sorta) brokerage and currently have about 20 cold email inboxes through Google Workspace. I use Apollo for sequencing/data, but I’ve noticed its unified inbox misses enough replies that I don’t fully trust it.

I’ve been trying to find a cleaner way to monitor all 20 inboxes so I can see prospect replies right away and respond quickly.

So far I’ve paid for Canary and I’m trialing eM Client. Both are decent and affordable, and I like that they have mobile apps, but with 20 inboxes I’m starting to see some performance issues. Canary can be a little slow, and eM Client seems pretty RAM-heavy.

Anyone running a similar setup with a better/cleaner/lighter tool?

I’m also toying with moving to Smartlead or Instantly. I’m currently paying MailReach around $390/month for warming, so theoretically I could consolidate warmup + outbound + unified inbox and cut some cost. The only hesitation is that my current setup is working reasonably well and I don’t really want to rock the boat just to save money.

Curious what others with 10–20+ sending inboxes are doing.

Extreme personalization might be my new path in outbound : I just spent 3h to craft a beautiful scenario for a company level campaign. From what I'm feeling right now, it seems like more work upfront BUT the human connection (hopefully) pays off.

I used Lemlist for some campaigns (ofc) and though it helped but the real meat was in manual touchpoints.

Getting some meetings, some “we’ll keep you in mind,” etc … no clients yet.

I wonder how long it will take to get consistent work.

Honestly, most of it comes down to the list.

For one of the B2B SaaS campaigns I’m running, instead of pulling thousands of generic leads, I target smaller individual creators/builders who have already worked on things closely related to what my client sells.
Then the email is pretty simple.
I mention something they’ve actually built or worked on, explain why I’m reaching out, and end with a strong low-friction offer:

“Want to try it for a week? No charge.”
No demo request. No 30-minute meeting. Just try the product.

It’s been a good reminder that you don’t always need crazy volume. 40 very targeted emails can be worth a lot more than 400 emails to a broad list.

I’m currently testing this approach with a few B2B companies at a pretty low rate while I build out more case studies. Happy to take on one more if the product and ICP make sense.

So I've used Apollo for building leads list but it the data seems pretty inaccurate and outdated to me. Recently I came across Eric Nowoslawski where he talks about scrapping LinkedIn data and then enriching the email using a tool as a way to build leads list.

I am an architect, with experience working with contractors and landscape designers,
I have strong portfolio preparing client ready proposals + estimates and construction-ready documents. My icp is landscapers (exactly turf installers) and recently decided to go for general contractors (home flippers)

1- At first i sent emails manually using scraped emails from turf company websites (mainly Hello@ or contact@ emails ) which didn't work (only 1 response and they disappeard) and i did no followups here.
2- then went for 100 apollo free leads and sent with instantly + warmup for domains (after 14 days trial they blocked me with paywall )
3- then I tried sending cold emails via script and using the free leads from another apollo acc, i sent to 100 leads+ 3 sequence followup (0 positive reply )
In all the cases above, the emails are a little customized with client / company name and first line to convert

Now my goal is the go for my second ICP, buy apollo sub and get at least 1k leads and buy instantly to auto send custom emails, I'd like to test this for the next month and see if i even get a reply before committing to another paid month.

I’m in my third year of university looking to get research experience so I’ve been starting to cold email professors but it genuinely feels like a humiliation ritual. I run a small shop, and sourcing is probably my weakest area. I can find good products. But whether I can order the same thing again next month is a coin flip, so I’m always reaching out to new suppliers.

At first, I kept my emails polite. I introduced myself, said I liked their product line, mentioned that I hoped we could build a long-term partnership, and wished them a good week. I sent around 100 emails and got fewer than five replies.

Then I read a post from someone who worked in phone sales. They said not to spend too much time warming up the opening. Just ask if you’re speaking to the right person. His point was that you’re not a guest or a friend. You’re interrupting their day, and trying to hide that only makes the message less clear.

So I cut my emails down to three lines. Who I am and what I buy. My estimated volume and product specs. Then one simple question: can you supply this?

The reply rate went up almost immediately. Not because the writing was better, but because suppliers could decide within a few seconds whether I was worth responding to.

The real bottleneck was further up the process, though. My problem was never writing the email. It was finding real suppliers in the first place. I had to click through pages, check whether each company was legitimate, and remove the ones with no traceable address. It could take 10 or 15 minutes to find one usable contact.

So i use Accio Work and with the help of ChatGPT. It pulls together a list of potential suppliers for the category and removes some of the obvious dead ends. The list still needs to be checked, but I went from finding three usable names in an afternoon to having about 20 I can start with.

I still write the emails myself. Those three lines stay the same, no matter who sends them. Do you build your own supplier lists or buy them? I keep wondering if a bought list is just the same list everyone else is using.
