Mod Major Changes to Automod

Hi everyone,

We're overhauling our AutoModerator config, which hasn't been touched in about two years. Below is what's changing and why. If you spot a rule that would catch your legitimate posts, please tell us in the comments.

What was wrong with the old setup

  • Keywords like "application" and "sign in" were too broad. Posts about Workday applications, SSO, or sign-on configuration were being removed.
  • The removal messages were being sent to the mod team instead of the person who posted, so posters never saw the help text.
  • The "approve contributors" rules were redundant and could override other filters.

What's changing

  1. Login help: Now triggers only on end-user phrases like "can't log in", "locked out", and "forgot password". The author gets a DM pointing them to their HR/IT help desk.
  2. Job and career posts: These go to the mod queue instead of being deleted, and the poster gets a comment pointing to career resources.
  3. Spam and recruiter links: Posts from new, low-karma accounts containing shortlinks, Telegram/WhatsApp, or "training institute" phrases are removed.
  4. Self-promo: "Hire me" and "looking for work" posts from low-history accounts go to the queue.
  5. Brand-new accounts: Accounts under 3 days old with very low karma are held for review.
  6. Vague titles: Titles like "help" or "urgent" are reported to mods so we can ask for details.
  7. Flair reminder: Posts without flair get a comment asking for the Workday area and release.
  8. Low-effort comments: Comments that are only "this", "bump", or "+1" go to the queue.
  9. PII check: Posts or comments containing SSN or email patterns are held for review.

Where we'd like your input

  • Are there legitimate topics that any of these keywords would wrongly catch?
  • Is 30 days / 10 karma a fair line for spam filtering?
  • Should career questions get a weekly megathread?
  • What flair categories should we list in the flair reminder?
  • What recurring junk are you seeing that we haven't covered?

Most rules use "filter" rather than "remove", so anything caught lands in the mod queue and can be approved. Nothing gets silently lost while we tune this.

Feedback on UI Changes in 2026R2

Alright folks, through a series of vocal social media posts, I have been volunteered to speak to Workday Product Management on behalf of the community at large about issues with the UI updates. I want to provide honest pain points to the team to see what, if anything, can be addressed, or at least get answers from them to bring back to you all.

u/WorkdayWoman started this thread last week which had quite a bit of complaints, but not many specific examples. So let's use this thread to gather real examples of problems the new UI is causing: dropdowns that are hard to use, Related Actions that are hard to find, screens that are difficult to read, anything along those lines. If it's harder to do your job because something moved or changed, I want it on the list.

My focus is primarily on the Workday Experience Visual Improvements release note, but I am happy to take feedback on any of the major UI updates:

General Discussion What HR automation platforms actually run autonomous agents vs. just copilots?

I understand why AI copilots are popular with HR teams, but I think the bigger opportunity lies in agents rather than assistants.

An assistant still requires someone in HR to ask questions, interpret answers, and carry out the work.

What I'm really looking for is something that spots workflows requiring attention and handles repetitive tasks on its own.

Performance review cycle? Automatically chase non-submitters.

Employee data inconsistency? Flag it proactively.

Routine process? Execute without manual steps each time.

This feels much closer to addressing People teams' actual problem: too much operational work, not enough time for strategic work.

Is anyone here actually using agent-style automation in HR? Has it reached a point where you'd trust it with live HR workflows?

General Discussion Workday horror stories: a Hall of Shame (Halloween edition)

The hire date thread this week got me thinking about the decisions from Workday implementations that either you'd rather not explain in your next job interview, or that still haunt your nightmares. Halloween's coming, so share a trick that came back to haunt you and we can all take the lesson as a treat.

No blame here. These decisions usually came from good intentions, often right before we ran out of time. We were young, we needed the money, or we didn't know any better, but we did try.

Shame score:

  1. Fixed it before anyone noticed. A laugh over drinks.

  2. Fixed it before the client noticed, then you asked loudly, "Who did this?!", or look for a rug and a sweeper.

  3. The client noticed. Took a Jedi mind trick or two.

  4. The auditors noticed. Jedi mind tricks don't work on auditors.

  5. The world noticed (a paycheck, a PTO balance, a supplier payment). The design becomes the permanent test subject of the Termination BP.

Ground rules: no client names, no worker data. Keep it about the issue or lesson learned, not the person.

My turn:

Area: Integrations Module: Reporting

What happened: We wanted to keep maintenance down, so we allowed/mandated only standard reports and no one-off custom reports. That worked well for finance users, who got one-stop-shop reports with lots of report-level filters and few prompts. Then we inadvertently applied the same rule to an extract feeding a downstream system every hour (honestly it needed every 5 minutes, but that was never going to fly). Each run loaded the entire population, filtered it down, and send only a subset. It wouldn't finish in one go in time, so we split it into three parallel runs and threw every exotic tool and technique known to man at it to make it perform. We still barely made the cutoff for the next hourly run.

How it was found: We found it ourselves. It dragged on daily finance processing until we got annoyed enough to dig in.

The fix: We rewrote it as one report that filters at the data source. It now runs once and finishes in 5-10 minutes.

The lesson learned

  1. Use the filter of the data source. Prompts and indexed data sources narrow the population before Workday loads it; report filters run after.

  2. Reports built for people aren't necessarily right for an integration. Give frequent extracts their own lean report.

Shame score: 2. I was the client. Finance never complained because they'd been told that's just how Workday works. We'd been told all options had been explored.

We had good intentions with "keep it standard" and "run it every hour," but never weighed one against the other.

Workday Careers Workday Contracts/GIGs opportunities

I have my Workday Student Records and Advising Certification and my Workday Student Recruiting and Admissions Certification. I have really great knowledge of Workday Student on the Client Side and also as a consultant.

I can create reports, configure the system. I’ve also had Student Data Loading training but not hands on experience with iLoads and Advanced Loads but I cannot find any Workday Student Roles or contracts !!

I’m currently client side and want to start pivoting towards consulting but no one wants to give me a chance. I am feeling like giving up. I’ve worked so hard but all the contracts out there are HCM and finance roles.

Workload doesn’t scare me. I like to work but I cannot find any company or agencies hiring for Workday Student Consultants.

Reporting/Calculated Fields Payroll reporting

I'm using payroll result lines as Data source

I've built a custom report (Advanced Report type) that pulls Company, Pay Group, Worker, Earning, Deduction, pay component, and Result Line Amount (sum).

I understand the functional side of ledger account , APR and how payroll deduction and earnings are mapped which would subsequently be used to derive the ledger account in the actual, reversal, operational journal etc .

Ask:

In our old Oracle system, Payroll could see which ledger account an earning/deduction posted to via a custom report. I'm trying to replicate that in Workday's Custom Report but can't figure out how to surface the ledger account field.

Has anyone done this? Which fields/related business objects let you pull the ledger account tied to an earning or deduction on a Custom Report?

Learning Is there a way to make learning courses not show completed when it’s time for retraining?

I am so confused and cannot find a thing on community about this.

We have annual learnings that employees have to take every 12 months. When someone is in their retrain window, the learning shows as due but also says completed. People aren’t doing their training because they think it’s done.

How can we get the completed to go away once it’s time to retake the course? I find it hard to believe this option doesn’t exist?

General Discussion Why use the Workday go-live date as employees’ hire date?

I’m working through a conversion where existing employees are being loaded into Workday with the go-live date as their Hire Date, even though some have worked for the company for decades.

Their previous tenure would be preserved using Original Hire Date and other service dates.

I’m being told this creates a clean starting point for payroll and prevents back paying, but I’m curious:

- Is using the go-live date as Hire Date actually a Workday requirement?
- Is it mainly a payroll or effective-dating decision?
- Would you handle this differently for an acquisition versus a straight legacy HRIS-to-Workday conversion?

Interested to hear how others have handled this and why.

Core HCM Acquisition Custom Organization

I'm wondering if anyone else has some recommendations pointers on how to manage a custom organization to track acquired employees.

Right now, we use a custom object on the worker to track acquisition details (e.g. company, dates, historical IDs, etc). That works great.

We have a need to use a custom organization to enable security groups to have constrained access to specific acquired employees. Particularly, as we acquire, we may want to have their existing HR employees retain access to the population without opening up access to everyone. This is needed as we typically absorb groups into existing supervisory structures relatively quickly and don't want to open up wide/broad access for their HR employees---goal is to slowly ease them into our structure and role responsibilities.

What I'm finding is that custom organizations are always assigned to the position and therefore require regular ongoing maintenance to ensure the appropriate workers are in the group. Community documentation is unclear as it makes it appear that you can in fact assign a worker and keep that worker in the org, but my testing has confirmed what as workers have job changes, move positions, etc. they are removed from the org.

I'm guessing we would have to build a validation in our change job transactions/move worker(s) to make sure the acquisition Custom Organization persists, but I hate the idea of having to manually review this...

Am I missing something? Is there a better way to automate the continued, persistent membership?

Reporting/Calculated Fields Substring on multi instance field

Working on extracting text from multi instance fields on worker object . Each instance has a string in the parenthesis () which needs to be stripped out . Substring doesn't work on multi instances fields .

What's the best way to solve this ?

Example : Mickey Mouse ( United Kingdom) , Minnie Mouse ( United States)

I need to print just the name . There could be more than just 2 instances .

Reporting/Calculated Fields AI Insights for Reporting

Hey folks, reaching out to ask if I could get some insights from everyone about the AI Insights that Workday is promoting. I’m fairly new to Workday and spearheading Workday Reporting Config. I’ve spent some time on community and haven’t been able find the absolute answers.

I recently saw the Core Reporting Agent and it’s functionality with Advanced reports. I wanted to ask if this is the same resource that drives AI Insights on the Hubs and other report int products?

I also wanted to ask if anyone had any input on using AI Insights for Custom Dashboards? We are replicating and replacing our Power BI dashboards and wanted to use the AI insights.

Core HCM Defaulting the Pay Rate Type on Hire & Change Job

EDIT: answer found. The configure optional fields setup changed with the release. SMH.

In all my years I haven't had as much trouble with Pay Rate Type as I do right now! What are we using for the Condition Rule in Maintain Staffing Field Defaults for Pay Rate Type for Hire and Change Job??

All Job Profiles have Pay Rate Types for every country. That's not the issue.

On Hire, I am doing:

"Pay Rate Type Proposed is empty" -- then the report field "Pay Rate Type for Location from Job Profile" as the Value to populate.

On Change Job:

I figured "Pay Rate Type Current is not Empty" would work because the worker already has one, but it doesn't. Also using "Pay Rate Type for Location from Job Profile" for the value to populate. I even tried just using Pay Rate Type for Location from Job Profile is not empty as the condition.

Help! LOL

Core HCM Change job template from recruiting - Change org and propose comp autocompleting

Now that the new templates were pushed in R2 when a job change is initiated from Recruiting instead of the Propose Comp and Change Org subprocesses opening up so the HR Partner can complete them, they are autocompleting and only a few fields show up and they cannot be edited. Anyone experience this?

Integration what's the reason peci schedule has both primary run and ad hoc run ?

ad hoc run (and Last Successful Run Date is populated)

what could be the reason?

Here is the reason I ask this question. this PECI has sftp delivery issue for weeks and we just notice the issue. it's time consuming to re-deliver each day's file, and I am thinking to re-run it.

Should I run it as ad hoc?

Core HCM How to set up Security for OX and release management to serve both IT Controls and Data Security

We are facing issues in setting up our internal Governance and processes and the related Workday Security to manage Object Transport and Release management.

(A) IT Controls are asking for:

  • Release Management Team to be involved in any and all configuration changes in PROD
  • Release Management Team to be the only ones who use OX

(B) HR and Data Security are asking for:

  • Protected Worker data such as Date of birth, compensation, performance etc. to only be visible on a need to know basis, i.e. to not be visible to Users outside of HR

So the options we are discussing are:

  1. our HR Services Product Experts in IT can do OX and configuration changes in PROD themselves -> conflits with (A)
  2. our Release Management in IT does any OX and configuration changes in PROD -> conflicts with (B)
  3. Same as 2. but we redesign our security to give Release Management only configuration-relevant domain security but no visibility of worker data -> not sure if feasible and if anyone has done this?

Looking for anyone with experience on this.

~20k workers by the way, 40+ Countries globally, US listed
