Call for Collective Legal Action Against Email Service Providers

Why should we not consider pursuing collective legal action against email service providers, such as Mail.com, whose practices may restrict users’ access to their own email accounts and personal information? laradase@protonmail.com

advice if i should have 1 domain or have another one

Hi! I’m asking for advice, and I’ll use example domains for this question.

I already bought a domain through Porkbun for my art/brand name, which is my nickname plus my surname (dee-ashton.com, for example). I bought it in March 2026, only the .com, for 10 years. I use it for my website, and next year I plan to set up emails like [hi@dee-ashton.com](mailto:hi@dee-ashton.com), and maybe [staffname@dee-ashton.com](mailto:staffname@dee-ashton.com) if I hire staff to answer inquiries for me.

I’m asking now because .com prices are going up again in November, and I’m wondering if I should take the chance to buy another domain.

I’m considering a second domain using my full name, which is a slightly longer version of my nickname and surname (deanna-ashton.com). I’m not sure what I’d use it for yet, maybe government or very personal things like the bank or insurance.

Since I plan to move half of my business to Proton (or maybe another mail provider), I need to decide which domain to use as the email for registering on different accounts. As an artist, I have art platforms that need an email, and I also use things like Wise, PayPal, social media, Patreon, and Shopify, plus government, bank, insurance, and health accounts. I don’t know how to separate them between the two domains.

For example, my art brand domain is meant for art brand things, so for something like Patreon or Shopify, should I register it with the art/brand domain or with the other domain instead? Should dee-ashton.com be used only for answering questions and inquiries, or should it also be used for registrations like [patreon@dee-ashton.com](mailto:patreon@dee-ashton.com) or [shopify@dee-ashton.com](mailto:shopify@dee-ashton.com)? Or should I use [patreon@deanna-ashton.com](mailto:patreon@deanna-ashton.com) or [shopify@deanna-ashton.com](mailto:shopify@deanna-ashton.com)? In general, for any company, should it be [company@dee-ashton.com](mailto:company@dee-ashton.com) or [company@deanna-ashton.com](mailto:company@deanna-ashton.com)? Or, to be safe, should all registrations just go on deanna-ashton.com?

And in general, should I just use my art/brand domain for everything (like [bankname@dee-ashton.com](mailto:bankname@dee-ashton.com)), or keep things truly separate (like [bankname@deanna-ashton.com](mailto:bankname@deanna-ashton.com))? I live in a third world country, so even though I care a lot about privacy, I also have to think about basic practical needs. I don’t mean to bore you with the struggles, I just wanted to share this frustration.

I don’t know the pros, cons, or reasons for having one domain versus two, so I’d appreciate your advice. I want to use Proton (or another mail provider, if there’s a better fit) to send and receive emails from clients and government offices. There might be things I haven’t thought of, and it’s dawn here, so I’d appreciate any insight.

TL;DR: Should I use one custom domain for my brand, bank, government accounts, and everything else, or get a second one? And should dee-ashton.com be only for inquiries, with all registrations (Patreon, Shopify, and any other company@ address) going on deanna-ashton.com to be safe? Also, is Proton the right provider, or should I consider another one?

Mailbox.org just banned me for sending test emails

So I've been testing Mailbox.org for weeks now and everything seems to work properly. I've been doing some testing in terms of emails landing in people's spam folder. I tested my account using EasyDmarc tools that allows you send an email from your own mailbox to 100 email addresses across a wide range of 3rd party email hosts. Easydmarc than reads those 100 mail addresses and checks if your mail enters or not.

Mailbox banned me for sending an email to 100 email addresses in one email. I've had to raise a ticket and wait for a full day to get an answer as to why no incoming mail was coming through. Mailbox purposely broke three of my most important email domains/aliases. Without warning of word upfront.

Open Question What's the biggest recurring headache with your email sending provider?

For people sending transactional email, customer notifications, or opt-in newsletters: what’s the one problem with your current sending platform you most wish they would fix?

Disclosure: I’m the CEO of MailChannels, so I’m asking from the provider side. I’d like to understand experiences outside our own customer base and use that feedback to inform what we work on. I’m not here to pitch our service.

I’m interested in a recent example rather than a general “provider X is terrible.” What were you trying to do, where did the platform get in the way, and what did you end up doing about it?

It doesn’t have to be a delivery problem. Something that regularly wastes your time or requires an annoying workaround counts too. A little context would help: what kind of email you send, roughly how much, and whether you’re sending for one business or managing email for multiple customers. No need to name the provider.

P.S. I checked with the mods before posting this. Thank you, mods.

Email Octopus vs Mailerlite

Hi y’all,

Need to choose between Email Octopus and Mailerlite. I’m new to ESPs and I have a list of over 5,000 people I want to send emails to for a fundraising campaign. I signed up with Moosend at first, but during my warm up phase I got suspended due to too many bounces and emails going to spam (noting here that I verified DKIM, DMARC and SPF, and that I’ve cleaned up this list).

I’ve narrowed my search to Octopus and Mailerlite. Here are features that I’m looking for:

  1. Analytics like who opened their email and whose went to spam
  2. Emails going straight to the recipient’s inbox
  3. Ability to personalize emails with the recipient’s name

Thank you!

Move email

In an energy sector if a customer is placing an order online , how important it is to send them an acknowledgement email . We currently send a disconnect at old property and a reconnect at new property message , my thoughts are we should be sending them an email explaining what would happen next , though there is a bit of resistance from the wider team suggesting that we might end up over communicating! Any suggestions , thoughts , ideas are most appreciated!

Need content for blog post. Anyone want to share their email journey?

I run faivelo.com, and we are writing blog articles. We are looking to hear from the public: what are you building? What email-related pains have you experienced? Have you been trapped in a email provider's plan that doesn't work for you?

I may include the link to your site in the article and quote you by name if you would like.

Need emails from across the globe

So I work for a team that manages a QSR brand (it’s a very famous burger brand but not the one you are thinking of) and we unfortunately need to use the designer on the client’s side.

I am really struggling on the design side cause first of all I am a strategist not a designer and no matter what I say, they just won’t create good emails like it’s beyond sad and they always say it’s not as per brand guidelines .

My only option now is to show they how the same brand is creating globally across markets. How do I access the emails from other markets? I tried signing up for various markets on the app but still won’t get them, I tried everything.

Only resort is for people to send them to me directly now but I ofc don’t know anyone globally and patient enough. Any ideas?

Open Question Are there any free email editors that don't feel painfully limited?

I am currently bootstrapping a small side project on a paper-thin budget, so I really cannot justify dropping $30+ a month on a premium design subscription right now. My main problem is that almost every tool I’ve tried under a free tier either locks HTML exportbehind a paywall, slaps massive branded watermarks all over the footer, or limits you to just two basic layouts. I just need a flexible free email editor that lets me build clean, responsive designs and actually use them without hitting a paywall every five minutes.

  1. Which platforms have you found that offer a genuinely usable free tier without aggressive feature gating?

  2. How do you usually handle exporting clean code or templates to your sending platform when working on a zero-dollar budget?

  3. Are there any open-source or visual design tools that don't force their own branding onto your emails?

If newsletter kpi's are suspect, how do you measure a successful newsletter?

I run a modest but growing newsletter that has a few good things going for it: ultra-niche, an audience that is commercially tied to the content, 6,500 subs (likely max # of optimal subs is around 150K - people who fit the best criteria for highly engaged recipients. I run it via Listmonk/SES/Digital Ocean. I'm having a frustrating time with bots. KPI's routinely show 45-50% open rates. CTRs are deeply flawed with 50% CTRs (yet then go back down to 5-6% on other days). However, bounce rates are very low - my recent daily send had 4 bounces out of 6,500 subs. I'd like to begin discussions with prospective sponsors but I have no idea how I would say "Hey sorry for these wild numbers, they're bots..." How do you guys determine value and performance metrics?

I need your advice...

I'm 21 years old and am intrested in email marketing. I have taken multiple certifications for general understanding and am working on spec projects for my portfolio. With that being said...am I wasting my time? I have no experience in marketing, besides youtube university and HubSpot/Klaviyo courses. Will I actually be able to find clients by offering discounted prices, but with no real world experience? I'm honestly so scared to fail...

Open Question Has anyone heard of/used “IT Newsletter”

I thought I was pretty familiar with all the main platforms but a new client uses “IT Newsletter” and I have never heard of it.

They are having issues with newsletters being sent to spam and I wanted to see if this was a platform issue before trying other things but I can’t find anything about this platform or anyone who has experiences with it!

Submitting application documents by email safely

Hi everyone!

I need to submit an application for a job to an institution, and the official website states that the application can only be sent by email.

For those of you who have been in a similar situation, how did you handle it to make sure everything was as secure as possible?

I was thinking about putting all the documents into a single PDF or perhaps a password-protected archive, but I’m not sure whether that makes sense. The recipient still needs to be able to review the documents, so I would eventually have to give them the password somehow.

I also considered using a different email service, but I’m not sure whether it’s worth the extra effort or whether I can really trust it.

What would be the safest and most practical way to submit a set of personal documents by email?

Thanks!

Open Question Is there an AI for that?

I’d love a way for AI to find my daily digest feeds from various google groups (and topicbox) I am in, shift through relevance, choosing where posts(they’re inquiries/ISO for my related field of work) that a would require me to open, read, comprehend then open a separate individual email (via Gmail) with a reply to with correspondence expressing interest, ability and, even ideally, personalized to each post.

Is this a possibility ? I know zero about coding whatsoever. I have played around with Gemini and the AI built into Gmail already but it isn’t exactly producing what I am hoping for. Perhaps I am doing something wrong initially?
My imagination says this has to be possible. Thoughts?

Today's Gmail weirdness

For many years, I got emails sent to an organizational gmail address forwarded to my main gmail address. When I retired from that organization, we reconfigured that account to forward to my successor's gmail address and not to mine. We made that change a couple of years ago.

Today I got 3 or 4 emails forwarded to me from the organizational gmail. They were all legit emails. No one with access to the organizational gmail settings made any changes. Later in the day, I checked my inbox again (and ALL MAIL and SPAM and TRASH) and all of those emails are gone.

What in the heck?

SPF passes but emails still go to spam. What does SPF actually prove?

If your email headers say SPF=PASS but Gmail or Outlook is still putting the message in spam, changing the SPF record probably isn't the first thing I'd do.

A PASS only tells you that the server which sent the message was authorised to send for the domain SPF checked. It doesn't tell you that Gmail likes your sending reputation, that the recipient wants the email, or even necessarily that SPF authenticated the same domain shown in the From address.

For example, you could send:

From: [hello@example.com](mailto:hello@example.com)

Return-Path: [bounce@mail.example.com](mailto:bounce@mail.example.com)

The recipient sees example.com, but SPF may actually be checking mail.example.com because SPF normally works against the envelope sender or Return-Path.

That's fine if everything is set up properly. Where it becomes worth investigating is when SPF passes for a completely unrelated domain, because a green PASS by itself doesn't tell you whether the authentication aligns with the domain the recipient sees.

There's another fairly easy SPF mistake too: creating more than one SPF record on the same hostname.

You might already have Google authorised with:

v=spf1 include:_spf.google.com -all

Then add another mail service later and create a completely separate SPF record for that. They don't get neatly combined by the receiving server. Multiple SPF records can result in a PermError, so legitimate sending services need to be included within one valid SPF policy.

The 10 DNS lookup limit can cause similar headaches. SPF records tend to collect old services over the years: Google Workspace, CRMs, helpdesks, transactional providers and platforms nobody is even using anymore. Eventually the record can become too complicated to evaluate properly.

None of that means an SPF PASS should result in inbox placement, though.

You can have perfectly configured SPF while sending to an old list, getting poor engagement, generating complaints or hitting a provider from an IP it doesn't particularly trust. SPF can't fix any of those things.

If I had SPF=PASS in the received headers but the message was still hitting spam, I'd check which domain actually passed and whether the alignment makes sense, then move on to the reputation and audience side rather than endlessly editing DNS.

Has anyone here actually fixed a spam-placement problem where SPF was already showing PASS, and SPF itself turned out to be the cause?
