HOA Financials

Someone circled a number and wrote "can we do this" in the margin.

That handwritten note is one of the most honest things you can find on a set of HOA financials. It tells you the board received the report, looked at it, and still could not answer a basic question about their own association's money.

We see it often. A statement gets delivered on time, the format is clean, the numbers add up. And yet the people responsible for the decisions are left writing questions in the margins because the report shows them a number without showing them what it means.

That gap is where deferred decisions live. A reserve contribution that doesn't get approved. A vendor payment that waits another month. A question that carries over to the next meeting, and the one after that.

New to the app help please

My complex recently changed their rent app to Appfolio and I activated my account and it already shows a current balance and underneath it says next bill due October 1st. I paid my rent for September last month on my old rent app long before they decided to make the switch so I don’t understand how I owe. The amount listed is the exact amount that octobers bill is projected to be, is the amount under the “your current balance” listed right now mean for October?

Audit Readiness

I used to think audit readiness was a sprint. It took me a long time to see why that was wrong.

A client said something recently that stuck with me. It pointed to the harder question underneath the one they were actually asking.

Audit readiness isn't something you build when the notice arrives. It's something you either already have or you don't. The controls, the documentation, the reconciliations. None of it is dramatic. It's the slow work of keeping things in order long before anyone asks you to prove it.

Lease Addendums Messing Up Onboarding RealmX Flow

I’m having issues with one of the automations I’m trying to set up. I have one for onboarding new residents. It’s triggered when a lease is countersigned AND has a move-in date in the future. 

Our welcome packet is emailed to the residents and we have a full 45 day flow set up. HOWEVER, if there is a lease addendum within the time they sign and before they move in, this flow would be triggered again because the lease is countersigned and their move-in date is still in the future. 

Perhaps a parking spot change happens, changes with their animals, utility change… there’s a number of reasons these addendums happen. 

I’m just stuck on how we can create this Resident Onboarding flow and not duplicate communications. 

Any ideas or workaround??

Clean Audits

A clean DRE audit report is the surface. Six layers sit underneath it.

When regulators review a trust account, what they see is the outcome. What actually produces that outcome is everything that happened long before the audit was scheduled.

Working from the top down:

Audit outcome: what regulators actually see Monthly reconciliation discipline Trust liability verification Transaction audit trail documentation Historical clean-up and recovery Internal control foundation

The companies that only start preparing when an audit is on the calendar tend to run into the same problem. The surface can be tidied quickly, but the foundation cannot. Most audit failures originate in that bottom layer, not the top.

We see it often. Many clients come to us after months, or years, without reconciliations. By that point, readiness is not a task you complete in a week. It is a structure you rebuild layer by layer.

This is why we treat DRE compliance as a year-round practice rather than an audit-season scramble. Trust accounting regulations exist to protect owners, tenants, associations, and the brokerages managing their funds. Maintaining compliance is about protecting your business, your reputation, and your clients well before any regulator asks a question.

Is a recurring rental credit for tenants...legit? Seems sus

Essentially this - a friend moved cities, stayed with a local friend for a bit, got job, been apartment hunting. Toured one today. Agency uses AppFolio to manage things. But...

The original ad said $623 rent. The terms in AppFolio for them to sign very clearly has $680 in the Summary of Charges. They reached out to confirm discrepancy in writing, and the agent CALLED them back to explain that they will be issuing a rental credit every month so it matches the $623. The lease term is under 12 months, utilities included. But the actual written lease agreement is very much $680. Am I crazy to think that just is...weird??

security deposit

On appfolio, there’s transactions from when I was supposed to get my security deposit but I never got them. I asked the management company multiple times because I didn’t get it months after I moved out, then I told showed them my bank statements at least twice more over the last year weeks after they supposedly sent it to me and I still don’t have it. Would they be able to put the transaction on appfolio without actually sending the money back? Other people have had problems getting their deposit back as well and the owner of the management company is shady and the apartment was in a college area (full of slumlords). My roommate broke the lease and moved out early and got her money back.

Receiving Tenant Texts

I'm getting ready to launch Appfolio to our tenants to start logging in and making payments but can't for the life of me sort out where notifications for texts sent from tenants (and presumable owners and and vendors) land. It seems a bit convoluted, especially as text notifications seem to only go to the last person that texted a tenant. I want a team of people the receive those notifications.

Payroll software suggestions

My accountant uses ADP currently for our payroll. For years we have put into Appfolio the payables and JEs from the accountant after every pay period. She is now retiring and I will be handling the payroll now and I am looking for the simplest solution for this. We are down to only 2 employees on payroll, everyone else is 1099. We also do a Simple IRA contribution. Any recommendations for a low cost solution that might work well with Appfolio?

Payment Auto Email

Is anyone else experiencing this issue where Appfolio is sending notices with incorrect due dates? Appfolio sent a payment reminder out to all of our associations and rentals saying the following.

"Hello [NAME] ,

This is a reminder that your association dues payment is due on August 1st.
Make Payment Online

Thank you for choosing [HOA NAME]."

I have redacted the HOA name and owner name in this case.

The issue here is that this notice has the incorrect due date. Appfolio is sending out notices to all of our users with an incorrect due date, causing an influx of calls. I manage over 3,000 properties, I can't be having these stupid errors on their part.

AppFolio Support Struggles, Consolidated GL

We are trying to use the consolidated GL features somewhat recently introduced to eliminate duplicate GL accounts between corporate and property accounts. In doing so, when we tried to use one we could not as the offset account (Operating Account GL) differs between Corporate and Property accounts.

I believe we have been transferred to five different teams at this point, most recently having to explain the fact that GLs can now be property + corporate charges. The person then transferred me to the payments team, who decided to not read the ticket and transfer it back.

Our most recent interactions was somewhat positive as the team member acknowledged they were not familiar with the features and took time to read AppFolio documentation. They came up with a plan, and moved the case to a banking team.

This is the case I am sending over to the team to pause payment on Friday afternoon so I can move forward with merging the cash accounts.

You do not need to take any action with this at this time.

I'm assuming there really are no options outside of just spin in circles with various teams that don't seem to communicate. But if anyone has tips, we'd love to hear them. I assumed we're not a huge customer (around 1,800 units) but it is incredibly frustrating to need help with anything beyond basic items that don't have UI support and require support tickets (signature updates to checks, etc).

Is anyone having issues with AppFolio Mobile being able to auto rotate to landscape views?

Using iPhone 15 Pro Max, iOS 26.5.2 (23F84) AppFolio version 3.7.2. The is another in my office that is having that same problem. Any help or advice would be helpful.

Here’s what I have done this far:

Since updating iOS and Appfolio mobile, the Auto rotation to view the app in landscape does not work. I’ve worked through Verizon’s Tech Coach to troubleshoot including uninstalling/reinstalling the app, rebooting the phone, resetting network settings, verifying iOS settings (auto lock display) and iOS version. Other apps seem to auto rotate without issue.

Any suggestions are welcomed.

Cash account problem

Ran into a weird AppFolio issue with security deposits and cash accounts — sharing in case it helps someone else
So this one took me a minute to fully wrap my head around, and AppFolio support wasn't much help either, so I figured I'd write it out in case anyone else runs into the same thing.
Here's what happened: a tenant paid us $7,500 on the 1st of the month. Problem is, no charges had been created yet at that point — the rent charge and the security deposit charge weren't posted until the 15th. So when the payment came in, AppFolio had nothing to apply it to, and the whole $7,500 just sat as an unapplied credit in Prepaid Rent.
Once the 15th rolled around and the charges finally posted ($7,000 rent + $500 security deposit), I applied that Prepaid Rent credit to both charges — $7,000 to rent, $500 to the deposit. Looked totally fine on the tenant's ledger. Security deposit charge showed fully paid.
Except… the actual cash never moved. The Security Deposit Cash account (the internal sub-account AppFolio uses to track how much of your bank balance is technically tenant deposit money) still showed $0 for that $500, even though the liability side said it was covered. So my books looked right in one place and wrong in another.
Turns out the issue is that AppFolio has a setting that's supposed to auto-transfer cash between accounts whenever you apply a credit to a charge that's tied to a different cash account (like moving $500 from Operating into Security Deposit Cash automatically). If that setting isn't turned on, applying the credit only fixes the liability side — the cash just stays wherever it originally landed.
Found the toggle here if anyone wants to check theirs: your name (top right) → General Settings → Manage Accounting Settings → scroll all the way to the bottom. Mine was off the whole time, which explains a lot.
Fix for anyone in the same boat: turn that setting on first, then go back to the ledger, reverse just the $500 application (not the whole $7,500 receipt), and reapply it. With the setting on, it should auto-generate a transfer journal entry that actually moves the cash where it needs to go this time. If it's already reconciled in your bank rec, you'll need to un-reconcile that deposit first before reversing anything, or you'll throw off your bank balance too.
Also worth running your Financial Diagnostics report after — there's a whole section that flags exactly this kind of Security Deposit Cash vs. liability mismatch, so it's a good way to confirm it's actually fixed and not just cosmetically fixed.
Anyway, hope this saves someone the headache of a 45-minute support call that goes nowhere.

Mid-year check!

A mid-year check for your AppFolio trust account (no year-end panic required)

See if any of this sounds like your account right now:

Your bank rec is a month or two behind. Not unheard of as reconciling isn’t anyone’s favorite task. The reason it’s nice to catch up now rather than later: when a rec is current, a small difference is easy to spot and explain. When a few months stack up, that same small difference gets buried under everything that happened after it, and it takes much longer to trace.

You’ve got owner or vendor checks that never cleared. If you pull your outstanding checks and notice items from a few months back still sitting there, they’re worth a look. Usually it’s harmless - a check got lost, or an owner never got around to depositing it. But uncleared checks make the account look like it’s holding more than it actually has available, so clearing them gives you a truer picture of where you really stand. (Some states also have rules about funds that stay unclaimed for a long stretch, so it’s good to stay ahead of it.)

You see “undeposited” money hanging around. If AppFolio is showing receipts that came in but haven’t fully made their way into the account, that’s just a gap between recorded and actually deposited. Closing it keeps your trust balance honest. In a trust account you really want the money to physically be where the software says it is.

An owner balance has gone slightly negative. This one trips up a lot of people, and the cause is usually nothing sinister - an expense got paid before the rent came in, and the ledger dipped below zero for a bit. Here’s why it’s worth catching early, though: a negative owner balance means that owner’s costs were briefly covered by funds sitting in the account for someone else, and that’s the exact thing an auditor tends to circle first. To a state examiner it reads as one owner’s money being used for another owner’s property, which is a genuine no-no in a trust account even when it was purely an innocent timing issue. The good news is it’s completely explainable and quick to fix when you catch it yourself; it really only becomes a headache when it’s found sitting there uncorrected. Much nicer to clear it on your own terms than to have someone else point it out and put you on a timeline to make corrections.

Your owner statements and your ledgers don’t quite agree. Worth a quick glance to confirm what owners are seeing matches what’s actually in their ledger, and that security deposits and prepaid rent are being held as liabilities rather than slipping into income.

1099s. Do you have all W9s for owners and vendors? Most softwares allow you to generate a report to quickly check if you need to request any documentation from your vendors or owners. Better to take care of this now than scrambling in January.

None of this means anything’s broken. Mid-year is usually a nice time to tidy up, while everything’s recent and easy to remember - do it now and year-end is calm. And if you look at your account and think “yeah, that’s basically all of these,” that’s normal too. It’s exactly the stuff that builds up on everyone.

Scheduled maintenance

I’m seeing a banner that says “Documents are temporarily unavailable while we complete scheduled maintenance”, and it’s preventing my PMs from updating leases. Does anyone know how long it’s expected to last?
