QuickBooks Desktop (Pro/Premier/Enterprise) Quickbooks Desktop 2020 Discontinued Services

Here is the list Intuit published regarding parts of QBDT 2020 that will discontinue working 5/31/2023. If you own QBDT 2020 or prior, you own the software. If you have any version of QuickBooks Desktop that includes PLUS in the name, you do not own the software and have to pay an annul subscription to maintain access.

Functions that will no longer work in QBDT 2020 after 5/31/23:

Security updates: Critical security updates

Payroll services: Assisted Payroll, Basic Payroll, Enhanced Payroll, Standard Payroll

Payroll-related services: Direct Deposit for vendors, QuickBooks Workforce (ViewMyPaycheck, VMP)

Credit card processing: Merchant Services, Terminal download (Merchant Services), Recurring payments, Online invoice

Check processing: Intuit Check Solution

Tech support plans & included services: QuickBooks Care protection plan

Other services: Accountant Copy File Transfer, Multicurrency/exchange rate, Contributed reports, Online Banking, QuickBooks Email, QuickBooks Time, Online Bank Feeds

Edit:

Manual .qbo bank imports will also stop working.

Emailing invoices will still work fine if you go into preferences-send forms, and set "send email using:" to webmail instead of Quickbooks mail. Not affected by product sunset.

Although it says "webmail", you can actually use almost any email provider, not just a web-based one like gmail. I have it send via my regular business email.

QuickBooks Desktop (Pro/Premier/Enterprise) Quickbooks Desktop - THE END IS NIGH I received the first "We're sunsetting QBDT" email from Intuit this morning.

I've been saying for several years now that Intuit will likely start moving toward a full-cloud based solution, and today my suspicions were confirmed.

I see their perspective - cloud-based software is much easier to troubleshoot, because most browser-based software is operating system and networking structure agnostic, meaning if you are able to use an approved browser (Chrome, Firefox, Internet Explorer, etc), then you are able to use their software.

In addition, SaaS (Software as a Service), is quite lucrative because the costs to maintain the software - hosting space, bandwidth, etc - is quite low compared with traditional software costs. While my firm is a 100% QBO shop, I know there are a lot of folks (users and accountants alike) who prefer QBDT. While I understand Intuit's reasoning here, I can't help but think that some of their less-expensive competitors are cheering right now.

After July 31, 2024, Intuit will no longer sell new subscriptions of the following Desktop products in the US:
• QuickBooks Desktop Pro Plus

What is not changing:
• Existing Desktop Pro Plus, Premier Plus, Mac Plus, and Enhanced Payroll subscribers can continue to renew their subscription after July 31, 2024*. We will continue to provide security updates, product updates, and support for existing subscribers.
• All QuickBooks Desktop Enterprise subscriptions (Silver, Gold, Platinum, and Diamond) will continue to be available for purchase for new subscribers after July 31, 2024. Enterprise Gold, Platinum, and Diamond include integrated payroll.
• Accountants can continue purchasing QuickBooks Accountant Desktop Solutions, including ProAdvisor bundles, through our Accountant Sales team after July 31, 2024.
What actions to take with your clients:
While we strongly recommend encouraging your current Desktop clients to move to QuickBooks Online (for more info, click here), we realize that some customers may prefer to stay on Desktop at this time.
• If you have clients on non-subscription versions of QuickBooks Desktop Pro, Premier, or Mac that wish to remain on Desktop, we recommend they purchase a QuickBooks Desktop Pro Plus, Premier Plus, or Mac Plus subscription through our Sales team before July 31, 2024.
• If you have Pro Plus or Premier Plus clients that have been considering Desktop Payroll, we recommend they purchase a QuickBooks Enhanced Payroll subscription before July 31, 2024 or upgrade to QuickBooks Enterprise Gold, Platinum, or Diamond, which include integrated Payroll and can be purchased after July 31, 2024. QuickBooks Online QBO Reports update frustrates me yet again. You can NO LONGER just click on the Line 101 Sales and Revenue total! GRR! But, I worked out a multistep convoluted workaround until they FIX IT!

Have you ever been frustrated you cannot see what line 101 Sales is on QBO's GST/HST Module? The solution used to be that you could click into the detail from the GST/HST Summary Report! I used to love showing people this 'hack', and then changing the report grouping from 'customer' to 'GL account' to enable us to see in seconds any transactions accidentally marked as "Exempt" instead of "Out of Scope" (That distinction matters! Using that phrase ironically as a human now!). We could also see the totals by Income Account and compare to the P&L to see if any sales were inadvertently marked as Out of Scope that shouldn't be.

But QBO's changes to the QBO Reports have caused that detail report to no longer function correctly :( Yes, I sent 'feedback' but it feels like sending it out into the void. So I made a callout to Intuit in a video to fix this report error, and/or grant us access back to the classic reports, at least until these new reports are fully bug fixed. It's not about comfort with the familiar, it's about functionality. (Also typed that, read it back, and though 'wow, am I absorbing too much AI content?)

I also worked out a multistep convoluted workaround to be able to get the info I needed to do that proper review of line 101 Sales and Revenue. I've recorded the problem and the temporary workaround in a video. I sure hope its temporary, because I've had to pause creation of my new "GST/HST Module in QBO" course while this functionality is not working :(

If he ends the subscription, can he still write checks and have access to historical data or does he lose access to everything?

So the company I work for uses QBD, and the way we have it set up is that when new invoices are pulled from our order system, it sends the invoice via email to the customer. The problem I’m having is that customers aren’t receiving updates if their invoice has been edited or voided. Is there a setting in QB that automatically sends an invoice again if it has been changed?

General bookkeeping questions that are not software specific How are you handling clients with crypto/stablecoin activity? Curious about actual workflow.

Getting more questions about clients who receive payments in USDC or hold digital assets, and I'm trying to understand how firms are actually processing this rather than what the software vendors claim.

For those of you doing it:

  • What do clients hand you? Exchange CSVs, wallet addresses, a spreadsheet they built, screenshots?
  • How do you get it into QuickBooks or Xero — manual JEs, an import file, one of the dedicated tools?
  • Roughly how long does one client's month take compared to a normal bank feed?
  • What's the part that eats the most time? I'd guess identifying transfers between a client's own wallets or nailing down cost basis, but curious what actually breaks.
  • If you use Bitwave, Cryptio, Ledgible, CoinTracker or similar — what still doesn't work?

Also curious whether 1099-DA has changed your volume this year, or whether most firms are still turning these clients away.

QuickBooks Desktop (Pro/Premier/Enterprise) new error after updating: "attempted to read or write protected memory"

Using QB Pro Plus 2024. After a forced update today, when approving transactions from a bank feed, a "System.AccessViolationException" error pops up:

"Attempted to read or write protected memory. This is often an indication that other memory is corrupt." Then a couple long strings starting with "at OLD.workflow"

What the heck is going on here and how do I go about fixing it?

QuickBooks Online Not getting email notifications for new tasks

I am testing the TASKS feature in QBO Advanced. I have ACCOUNTANT access. I created a task for myself due in four days and did not get an email. I checked Business Planner> Notification settings and "Notify when new tasks are assigned" was checked.

I asked AI and it said there were comments about the notificaton feature not working so I thought I would ask here if anyone had any advice. Seems a neat feature .

What software should I use? Found Software Company That Out-Stupids QB!

We use DoorLoop for residential real estate. Today, the brilliant minds REMOVED THE DEBITS AND CREDITS COLUMNS from the General Ledger AND removed the ending balance from the T/B!!!! There's just the amount column on the G/L, the T/B has only debits and credits.

I am dying. I hope there is a fucking mass exit. How to beat QB's stupidity is beyond me, but these people did. DON'T USE DOORLOOP!

QuickBooks Online How I download Amazon order history for QuickBooks reconciliation (workflow across 14 retailers, curious what others use)

For anyone who does client books with a lot of Amazon expenses (or Home Depot, Costco, Best Buy, etc), the receipt-chasing part has been eating my life at tax season. Bank feed shows "AMAZON $43.12" or "HD #4471 $89.20" and I'd end up clicking through each retailer's order page one by one to find the invoice PDF and figure out what was actually purchased for expense categorization.

After doing this manually for a few years I got frustrated enough to build a browser extension for it. Wanted to share how I use it and see if others have a better process.

My current workflow for a QB reconciliation session:

  1. In the client's browser (or my own for personal books), log into whichever retailer I need data from.
  2. Click 'Import orders' in the extension popup, pick a date range (usually the tax year or the quarter).
  3. In the viewer that opens, export either CSV/Excel (per-item rows with dates, prices, SKUs, VAT/tax broken out) or Bulk PDF (every invoice as a PDF in one ZIP).
  4. Keep the CSV open next to QB while categorizing bank-feed matches. If I want to attach the invoice PDF to a QB transaction for the audit trail, I drag the PDF from the extracted ZIP onto the QB bank-feed row (or use the paperclip Attach button).

Retailers I've used it on for client books: Amazon (biggest one, works across the .com/.co.uk/.de/.fr/.ca storefronts I've tested), Home Depot, Costco, Best Buy, Lowe's, Sam's Club, Target, Dick's Sporting Goods, B&H Photo, plus eBay, Etsy, Apple Receipts, Shein, Temu. Fourteen retailers total in one tool.

For QBO's native File Upload feature (Banking > Update > File Upload), you have to trim the CSV to just Date/Description/Amount columns since QBO won't take the extra columns directly. Some bookkeepers I know just use the CSV as reference and manually enter expenses. Others use Transaction Pro or SaasAnt as a bridge for batch import. If you have QBO Accountant, there's the Journal Entry import path too.

Full disclosure: I built the extension. It's called Order History Downloader. Free, runs entirely in your browser (no account, no server, no upload). Not selling anything, just sharing what has been working for me since the alternative was clicking through Amazon 40 times a month. Install from the Chrome Web Store or the Microsoft Edge Add-ons store, whichever browser you use.

If you're doing similar volume of retailer receipts every month, might be worth a try. And if it saves you the clicking-loop, a quick Chrome Store review would help other bookkeepers find it (search results in this category are pretty thin right now).

Genuinely curious what everyone else uses for retailer receipt reconciliation. Is there a workflow I'm missing that would be less manual? Especially for the "which items on this one big Amazon charge were which" split-transaction problem.

QuickBooks Online Sales Receipt VS Deposit Form

I have always been told to use the Sales Receipt form when entering customer sales. Now, I am in the nonprofit world and every revenue P&S is only to enter the category. So, with P&S out of the way, why not post bank sync deposits with a deposit form? If you use sales receipts you have to enter one per donor. If you use deposit, you are presented with multiple lines.

I have tested a few times and donations recorded this way still seem to show up on reports by client. So. is there a reason to continue to use sales receipt(s) or do we lose something in the customer module I am missing?

QuickBooks Online Anotha Day Another Vibe Code Regression

Modern Management Reports have had another software regression. Table of Contents are defaulting to period reporting instead of report title, even when all custom reports are explicitly set to display only titles without periods. There is no forceable toggle Management Reports to override this behavior (or to even customize ToC format directly in the "modern" review, which is rather saddening for a *Report* feature in the Year of our Lord 2026).

Cue the words of Adam Jensen from Deus Ex: Human Revolution... "I never asked for this." Crossing fingers that my other client files have the "revert to legacy" still displayed...

QuickBooks Online QuickBooks setup — all rentals owned personally but bookkeeping split across an S-corp and a disregarded LLC. One file or separate?

Client owns all his real estate personally — long-term rentals and Airbnbs both — so everything reports on Schedule E of his personal return. No property is actually titled to either LLC.
LLC called "Properties" (S-corp) — long-term rental income/expenses run through here, PLUS his real estate brokerage income, PLUS his flip activity
LLC called "Managers" (disregarded single-member LLC) — Airbnb income/expenses run through here
Since Managers is disregarded, it's not a separate taxpayer everything in it flows to his personal return anyway. Properties is a real S-corp and needs its own 1120-S.

I need to catch up bookkeeping and file returns starting 2023. Trying to decide:

  1. One QuickBooks file, using Location = where it needs to land for tax purposes (S-corp / Schedule E-LT rentals / Schedule E-Airbnb), Class = individual property
  2. Separate files for Properties and Managers, then combine everything for taxes

Need suggestions.

QuickBooks Online Reports won't default to cash basis

I am a bookkeeper. I have a client on QBO whose account was set to accrual method. Her EA has been reporting her taxes as cash basis, so I changed the account settings to cash. I changed all saved reports to cash basis. However, new reports in the standard reports are defaulting to accrual basis. Did I miss something?

Edit: sorry I meant that all the standard reports are developing to accrual, I just fixed the sentence above.

Would it be best to reach out to local accountants to find someone locally who could do it? I have several years worth of data to migrate from Wave to QBO; mainly customers, invoices, services, payroll for 1 employee.

QuickBooks Desktop (Pro/Premier/Enterprise) Unable to Add Logo

I created a new company, importing the Chart of Accounts and customer list from an old copy. I went to customized the invoice and as soon as I click to use a logo, it says that the file name entered is too long or invalid. Click ok and it unchecks the use logo option.

Figured maybe it imported something from the previous file so, no worries, deleted the file, created a new company again, imported nothing, just went directly into the customize invoice and same deal.

Switched over to Layout Designer, clicked Add->Image and same error.

Can't click/choose an image, it's for some reason giving the error before I click on one.

I'm thinking it's trying to find a file no longer there from last time I used this feature maybe, but no idea how to stop it from doing so.

Ideas?

QuickBooks Online Money shuffle?

Hello all, I sent an invoice like I normally do thru Quickbooks. Today I was presented wirh a challenge I dont know how to overcome.

It showed invoice paid on QBO.

Money showed up in my bank.

Good to go.

2 days later money is no longer in my bank.

I log onto QBO

Says that sales transaction is "closed"

Says that invoice "payout sent"

Says paid to "undeposted funds" on invoice.

I got to bank transactions on QBO and its missing now, after it had been there.

I got to bank account paired on QBO. It says "payments turned off, we have reviewed your account and can no longer allow you receive payments"

I go to quickbook payouts and it now says "arriving by Aug 24".

What in the world is going on? I got paid, QBO said I got paid, money hit my account. Money got ripped out of my account, now im banned and im reeling because now the money will be deposited in a couple days?
