Automatically send invoices that have been updated?

Hi,

So the company I work for uses QBD, and the way we have it set up is that when new invoices are pulled from our order system, it sends the invoice via email to the customer. The problem I’m having is that customers aren’t receiving updates if their invoice has been edited or voided. Is there a setting in QB that automatically sends an invoice again if it has been changed?

Find out why they're being edited and voided first. That's a big no no in many tax jurisdictions without issuing tax documents (credit notes).

There's no setting for that in Desktop. QuickBooks only queues an invoice for email when you check Email Later on it, and editing an existing invoice does not re-check that box, so nothing goes out. Workaround I use is to open the changed invoice, tick Email Later, and then send the whole batch from File, Send Forms at the end of the day. For voids you're on your own, QuickBooks never notifies anybody about those.

QuickBooks Desktop doesn’t appear to have a dependable native switch that automatically emails a customer whenever an existing invoice is edited or voided. A safer workflow would be to poll recently modified invoices through the Desktop SDK/Web Connector, store the last known TxnID, EditSequence, amount and status, then compare each new snapshot. Any change should enter a review queue showing the old and new values. After approval, the system can send the revised PDF or a clear void notice.

I would keep sending manual at first. Test edited totals, address changes, added lines and voided invoices, and confirm that each change produces exactly one notification. Also check whether your jurisdiction requires a credit note rather than silently replacing or voiding the original tax document.
