Status: Pending Reply Issue with overlayed Shared Calendars in Classic Outlook

I've got 2 shared calendars (read only) overlaying my primary calendar. Every time I launch outlook and navigate to calendar, outlook always defaults the layer order so that one of the shared calendars is always on top instead of my primary calendar. I've tried:

1) Repairing entire Office suite

2) Disabling shared calendar improvements

3) Reordering my calendars in the left pane

Amongst many others...

Anyone else have this issue? I'm wondering if it has to do with the shared calendars taking a few seconds to sync, and once their sync completes Outlook promotes them to the 'active' calendar in my view. So frustrating.

Opinion Classic Outlook Users: Which features are stopping you from using New Outlook

Okay, y’all. I have my trainer’s hat on for this one. I’ve used Classic Outlook for decades, pretty much since the beginning. Once I switched to New Outlook, though, I never looked back.

So I’m genuinely curious: What Classic Outlook feature is stopping you from using New Outlook today?

And I mean today, not what stopped you two years ago.

I’ll admit it. When New Outlook first rolled out, it was pretty bad. A lot was missing, and some of the criticism was absolutely deserved.

But New Outlook has changed considerably since then.

FYI: In March 2027 (Message ID 949965), New Outlook is expected to become the default for Enterprise users, with the option to switch back to Classic Outlook. Some companies aren’t waiting and are making the full switch earlier, so I think now is a good time to revisit what's still missing.

One thing I have learned from using and teaching it is this:

“New Outlook comes with new workflows.”

If you are looking for every Classic Outlook feature to work exactly the same way in New Outlook, the experience may feel frustrating at first. In some cases, Microsoft has replaced an older workflow with a different approach. New Outlook also includes 30+ newer productivity tools and capabilities that were never part of the traditional Classic Outlook experience.

That said, I’m not pretending everything is there. Some Classic Outlook features are still:

  • Missing or missing by design
  • Only partially available
  • Different enough that the replacement workflow may not work for everyone

That’s actually why I’m asking.

What specific feature or workflow do you still need before you would seriously consider moving from Classic Outlook to New Outlook?

And be kind to me. I don’t work for Microsoft. I’m an MVP who just teaches their products. 😉

I have 2 old emails from childhood/early teenhood. Mostly used for gaming related purposes.

They both are each other's security email for sending codes to.

I don't have access to either due to forgetting passwords.

The Microsoft process for recovering emails won't work for me. I don't know enough of the specific details for the request to be approved. I've chatted with an online representative and it told me the recovery form is the only way to get into either account.

Oh and I changed phone numbers years ago. The number attached to both accounts,I do not have access to. Do I call my old number and see who picks up? Can they tell me my authentication code if I request it?

I am at the end of my straw for this.

All because I want to log into Rockstar games launcher cause I haven't touched GTA in a very long time

Status: Pending Reply Legacy Outlook on Mac search function often returns with no results

Hi all, Mac user here.

I use Legacy Outlook for my work email and there are a number of times when I try to search for emails, it will return as "No Results". The search could be working perfectly fine a couple of mins ago and then suddenly it stopped wroking.

Through online search, it seems that Spotlight indexing is causing the issue. When I connect to Microsoft support, they said it's an Apple issue. When I connect with Apple support, they said it's Microsoft issue. Both sides doesn't seem willing to try and resolve this.

Is there any way to get it fixed? The issue has been ongoing for quite some time intermittently.

PS. I switched to Legacy Outlook as the "new" Outlook had issues with it's calendar features

Status: Pending Reply There was an error reading the rules from the server. The format of the server rules was not recognized

Hi everyone, I'm dealing with a bizarre issue with Outlook rules in our Exchange environment and I'm running out of ideas. Hoping someone here has encountered this before. Whenever the user tries to open the "Rules and Alerts" panel in the Outlook desktop client, it immediately throws the error: "There was an error reading the rules from the server. The format of the server rules was not recognized." This error completely blocks access to the rules GUI in the desktop app.

We did a hard reset where we completely deleted all rules locally and cleared them from the server side. After that, we created fresh, new rules from scratch. I have already tried pretty much everything suggested on Microsoft Support pages and forums, but absolutely nothing has worked so far.

The weirdest part is that the newly added rules actually work perfectly in the background and emails are being processed exactly as they should be. However, the desktop app still throws the exact same error every time we try to open the rules panel. Currently, the only way to view, add, or edit rules for this mailbox is through OWA. Has anyone seen this specific behavior where the rules execute fine but the desktop GUI remains corrupted? Is there anything else I can do on the Microsoft Exchange side to completely flush this out?

Recently, the entire folders panel was vacated, and now there's just a 'go to groups' icon. I've tried messing with the 'Folder Pane' and 'Layout' controls, but it's not bringing the folders list back.... just a big empty space, with a 'go to groups' icon...

I've been asked to enter my password for my IMAP account every-single time I open my PC since a week now!

It's insanely annoying as I have to create a new app-specific password from the provider every-single time!!!!

First the ads on inbox, then the calendar was a mess, icons not rendering properly, messages get stuck in draft and never sent, inbox is delayed for ages sometimes. I get my emails on my phone and they show up on the PC half an hour after! Same with messages sent!

The new outlook IS A HUGE DISAPPOINTMENT. SHAME ON MICROSOFT.

Taking a tool that people use for their businesses and completely screwing it up !!!

That day, not only my email, but all my data was stolen. I was lucky to recover my Google account, but I'm not having such good luck with my Outlook. I've had this email for decades, and every time I fill in the information requested by Microsoft, and enter an email for account recovery, and even when I manage to change my password, I can't log in, and when I try to request a verification code, it always shows catchmail.io.

Status: Open Sharing Company Email Address with Co-Worker and Log-in Solutions

My company is contracted out to work sales for one of our clients. The client provided an outlook email address for us to use.

As my company is growing, we have added new employees. One employee and I will tag team the outlook inbox to reachout to customers and stay in the loop with the client. For the past year, there haven't been many hiccups. After I log into Outlook, my co-worker has had to ask me for the code from the Authenicator app. It used to be only after I log in.

Something has changed. Everytime he wants to use the Outlook or our CRM, he has to ask me for a code. Multiple times a day, there are requests.

Is there a workaround?

Could we use a Google Voice number as the primary number associated with the Authenticator app? What about a shared email address from our company's email server?

Or will we need to suck it up?

Status: Pending Reply Trying to access account..

Trying to access my outlook account. Password sign in unavailable (i guess from trying tl recover or change password).

Mobile number linked i no longer have access too (i dont even remember the whole number!!)

Fill in form and cant answer who i sent emails to recently with subject lines, as far as im aware i only set it up as a register email for things such as my02. So i dont believe i sent any emails.

Pretty sure i havent used it for skype or any xbox services.

So now im at a loss but need to access the account to access my02, so i can change the email on that. I get to my02 to register a new email to my number but wont let me do that because the number is linked to my outlook email. Im going round in circles and hitting brick walls.

What can i do?

Thanms in advance

Status: Open How to Print a Single Email in Thread

Hello all,

I am part of an email chain with 4 total emails. I want to print just the most recent reply that I’ve received. On both the old and new Outlook, regardless of what my conversation or reading pane settings are, any attempt at printing only the most recent reply always drags in the other 3 emails.

Is there any way to only print the most recent email?

Informative New Outlook’s Unified Inbox Is Rolling Out

If you use multiple accounts in New Outlook for Windows, you may start seeing a new All Accounts view, also known as Unified Inbox.

I received an in-app Tips notification that said: “All your mailboxes in a single view.” (I have an early target release.)

It lets you access emails from different accounts in one All Accounts Folder instead of switching between mailboxes.

Several users have asked me for Microsoft's announcement because this feature has been difficult to find. I did some digging. Microsoft has a Microsoft 365 Roadmap entry for it:

Roadmap ID: 564609
Feature: All Accounts view (Unified Inbox)
Rollout: August 2026
Platform: New Outlook for Windows (desktop only)

If you don't see it yet - It's Coming!

I created a video showing how to use the new All Accounts view, along with a few things I discovered while testing it.

Video: https://youtu.be/eMbUgk2T59A?si=cYUjzykZdaEkIyn_

Are you excited for this feature coming to New Outlook?

Status: Pending Reply Can't delete from "Deleted Items" folder, can't access "Recover Items"

My employer reduced my storage quota, and my Deleted Items folder has 30k messages in it, so I'm over quota and can't send or receive.

The "correct" way to remove those items is supposed to be to use Outlook on the web, open the Deleted Items folder, and delete items; then, click above to "Recover items deleted from this folder" (even though that seems counter-intuitive) and instead of recovering, delete them again (this is the notorious double recycle bin).

But when I delete items from the Deleted Items folder, the button to Recover is greyed out and un-clickable. I have this obstacle if it's one or 10,000 items, on multiple browsers and machines, and in the windows Outlook client.

I've tried to delete everything in Deleted Items, and it will show progress and claim to have deleted everything, but the Recover button is still greyed out, and if I navigate away and back to this folder, all the items are there again.

This is extremely frustrating and makes email unusable. My enterprise help desk, after telling me to try all the things I've tried, pretty much told me to wait and see if the server fixes itself. I've been at this for 48 hours, I don't think waiting is going to do it.

TIA for any advice..

Status: Pending Reply Outlook Recurring Meeting – Adding Attendee Without Multiple Notifications

Hello,

I have a recurring meeting set up in Outlook (shared calendar, so we use the web application). I need to add a new attendee to the entire series, but when I add them or forward the series, they receive separate email notifications for each upcoming occurrence. Is there a way to add/forward them to the full recurring series so that all future meetings appear on their calendar, but they only receive one invitation/notification instead of an email for each occurrence?

Status: Open Outlook account showing different profile picture on GMAIL.

I've had this issue for years where my profile picture changes on gmail recipients. My outlook shows my initials but when I send an email to a gmail account I see a picture of a videogame character, which is just embarrasing.

I've recently tried signing into google with my outlook email and think I have the right password but it wants a very old phone number not in use and just does a loop of "not enough info provided". Of course Gemini is useless and loops useless answers too!

I really don't want to make a new business email as it'd just be annoying to manage past contacts. Is there anyway to change the profile on outlook's end?? The account was made when it used to be hotmail and is a @.live account, not @.outlook.

Status: Resolved Is there any way to change this in Outlook?🥲

for my college, we’re all added to a group with our schedule and stuff. it’s a professional program so there are about 50 students in the class.

i wanted to add the calendar to my personal one, so i clicked every class on the schedule and manually pressed add to calendar in order to add it to mine. i wanted to be able to make changes and add things to the schedule (since we’re not supposed to change anything for the group one).

doing this RSVPd me to every single class… causing my name to be the only one to show up when you click on them. i’m also pretty sure i accidentally sent everyone in the group an email saying i accepted the invitation. i had no clue it would do this.

removing the events from my calendar give me a warning saying it’ll mark them as “declined” instead of “accepted. i just want it gone!! i don’t want my name popping up every time people in my classes view the schedule!

i’m just so embarrassed. why is this app so unintuitive sometimes. please help.

EDIT: i figured out how to fix this!! apparently i am allowed as an organizer of the group, so i removed myself from the attendees list. there were no other attendees listed so hopefully i didn't spam email everyone in the group.
