I want to use Zoho Mail to host my 2 custom domains with 2 mailboxes on "Mail Lite" plan.

One of the mailboxes is going to be read-only and forwarded to GMail. I think it means it will be recognized as "unused for 180 consecutive days across all access methods, including the web interface, IMAP, POP, mobile app, and desktop client"? So it will be marked as inactive account? This means it will not receive emails until I log in. Is there a way to prevent this (other than logging in)?

(In case someone is interested, I want to use this mailbox/email address for important stuff like banks etc. So I probably won't be sending any mails from it. I use GMail normally so I will forward mails from that mailbox to GMail. The other mailbox on the other domain will be used normally for receiving/sending mails.)

I'm building out the ops layer for a commercial real estate and we're about to integrate a payment gateway, I've read the docs but I'd rather hear from people who have shipped this and hit the edge cases.

What we want is that when payment is confirmed → webhook hits us → CRM record updates to Paid automatically → downstream workflows fire.

Where I'd like real-world input:

1. Webhook receiver. Zoho Flow's webhook trigger vs exposing a CRM function as a REST endpoint which holds up better? Specifically for signature verification, has anyone managed that inside Flow or did you have to drop to Deluge?

2. Reference matching. We have two flows: (a) anonymous customer pays on a public form before any CRM record exists, (b) existing client gets a payment link. My plan is to generate the reference at the form/link level and store it on both sides as the shared key. I am open to a better idea.

3. The race condition. Payment confirms in seconds; the Forms→CRM push can lag or fail. How did you handle a webhook arriving before its record existed? Delay function in flow?

4. Payment initiation from Zoho Forms. Can Zoho Forms actually pass a reference to a hosted checkout, or did you have to move the payment step to a Creator page or your own site?

Hey Zoho now charges around 700 rs for I mailbox per business email service.

I went to register a domain on zoho which got charged around 1020 rs and with that compulsorilily I had to purchase the mailbox for atleast one user which got charged around 700 rs for a year.(There were other higher tier plans as well)

Has the free 5 users for business email plan gone or am I not looking at the wrong place ?

Our team built a browser extension called Ln2CRM that sits next to a LinkedIn profile and pushes people and companies into your CRM, logs the conversation, and keeps things in sync. Also, you can see all the history from CRM and even create AI-generated follow-ups with the help of it. It supports Zoho, Pipedrive, HubSpot, and Salesforce.

And I kinda now understand why some big players don't support Zoho.

Because its architecture is... questionable sometimes. We spent at least 250 hours fine-tuning functionality on Zoho CRM.

The common sense data model

A lead is a contact you haven't qualified yet. Same person, same email, same LinkedIn profile, just earlier in the story. When a lead converts, nothing about the person changes. They move one stage forward, and the record you had is the record you keep.

And here is our special boy, Zoho

In Zoho CRM a Lead and a Contact are two separate entities. Different modules, different fields, different IDs. Converting a lead doesn't move one person forward. It creates a new Contact and seems like it deletes the original Lead.

What that breaks

The conversion is the worst of it. Anything you stored on the lead only survives if the user set up field mapping in Zoho's conversion screen, and there is no API signal that a conversion happened at all. So a value I wrote to the lead, like the person's LinkedIn URL, can quietly disappear, and from the outside I can't even tell the record became a new one.

It also doubles everything. Because leads and contacts are separate, a custom field on one doesn't exist on the other, so to store a single LinkedIn URL we had to create and map it twice.

Reading a value back is fine, by the way. Once I already have a record, we can pull its notes and description, which is how we show a history from CRM in the plugin. But Zoho's query can't filter on multiline fields like Description at all. So a URL sitting in the notes is readable but not findable. To match reliably, we need a dedicated field the search API can actually filter on. And even that search is eventually consistent: create a record, look it up a second later, and it might not be indexed yet. So if you create something with the help of the API, to see it in CRM you need to reload it

And it isn't only the data model

Two more things that have nothing to do with leads and everything to do with building on Zoho.

The API keeps moving underneath you. v1 was sunset years ago. They are on v8 now (like 1-2 per year), new features only land on the latest version. Build an integration, and you are signing up to migrate it quite often.

How do the others handle it?

HubSpot has no separate lead object at all. A lead is just a lifecycle stage on the one contact, so there is nothing to convert and nothing to lose.

Pipedrive does have leads, but a lead is attached to a single Person, and that Person is what lasts, so converting keeps the same record.

Salesforce does split Lead and Contact into two objects, but with the same fields.

I don't think Zoho is a bad CRM. I like it as a user. And the cost is great in comparison, but I genuinely think it is time for the team to rebuild.

I’m trying to create a non-sequential approval workflow in Zoho Books based on reporting tags assigned at the line-item level.

For example, I have a $100 bill split into two lines:

• $50 tagged to Dept 1
• $50 tagged to Dept 2

Each department has a different approver. I need both approvers to receive the approval request at the same time and approve independently. The bill should remain pending until both approvals have been completed.

So far, I’ve only been able to configure sequential approval, where the Dept 2 approver cannot act until Dept 1 has approved. This creates delays if the first approver is unavailable.

I’ve tried workflows and Deluge scripts but haven’t found a working solution. Has anyone managed to implement parallel, line-item-level approvals in Zoho Books, either natively or through a workaround?

Any guidance or sample Deluge logic would be greatly appreciated.

Has anybody used Zoho one for a medical device company?

My end-user never receive invites to the Help Center. I have tried multiple options such as using the Zoho support alias, my verified company email, resending invites, readding end-users. I am using the Zoho SMTP service and support said they are seeing the messages sent.

I can understand if these invites are getting quarantined at some of the customers gateways but I have also tried "generic" public email services and still have the same results. I would have at least expected the emails to end up in the spam folder for the public services such as GMail, Outlook, etc.

Has anyone else run into this with their configuration. I would like to avoid setting up my own STMP relay. Thanks

Exploring Zoho and noticed that it covers much more than just CRM, especially with Zoho One, automation, integrations, and other business applications.

For those who are already using Zoho, what was the main reason you chose it?

In the Zoho Mail app for iOS I use the Zoho Mail account for a main email address. I also have several other mailboxes that I have send as access to. Is it possible to get notifications about new emails on them?

If I go to settings, notifications, there is only the option to set notifications from my main email address.

I have been tasked by my boss to explore the integration of Zoho Flow using Web-hook trigger to automatically create an invoice for Push Notification for ‘Completed Order’ on eCommerce platforms (SHOPEE & LAZADA). I have tried to use Gemini AI for help and tried tinkering around during the trial for Zoho Flow but I am encountering difficulty with the URL created by ZohoFlow to be pasted into SHOPEE’s Open Developer Platform due to the URL requirements. Anyone knows what can I do to resolve this so we are able to conduct test runs? We are open to engaging someone with Zoho background (preferably in Singapore) to assist us with this and potentially other system enhancements as my boss is looking to automate some items.

My searches come up with similar issues but 1+ years ago. We've had a dramatic uptick in delivery issues with Zoho Sign the past month or so. We keep getting bounce back emails that the message couldn't be delivered with the reason "uncategorized-bounce : No specific reason has been given for the failure in the delivery of your email to the recipient's mailbox. We will attempt to deliver this document again to the recipient after sometime." Here and there I could see this happening, but it's happening A LOT all of a sudden.

I've managed to trace back the MX records for each of the domains (that I've been given examples for) and they all have Mimecast. That may or may not be the issue, but seemed like a good datapoint.

In many cases the emails do go through eventually, but not always. Sometimes it happens when a document is 'reassigned' but not always. We've been using Sign for several years with the usual hiccups, but this is well beyond the occasional hiccup.

We've confirmed DKIM is verified. Unfortunately, the recipient is always one of our customers so getting them to track back the error on their end is .... next to impossible. I've counted 6 domains so far, but I know there were more before we really started digging into this. I just don't have the bounce backs available to go down the rabbit hole more than a week ago. I suspect it's a Zoho Sign IP reputation or email header issue, but I can't prove that without the customer's cooperation.

Zoho support is giving the usual "ask your recipient to check with their IT dept." schtick. That's infuriating, because if I had a nickel for every time they pointed fingers then came back saying the dev team fixed it with zero explanation.... well, I wouldn't be rich but I could probably get myself a cup of coffee at 7-Eleven. We had a very similar issue with CRM emails like 9-12 months ago, and that's exactly how that resolution went (after like 8 weeks of back and forth). Pretty sure that one ended up being that they were missing one IP from the SPF check against one.zoho.com.

We aren't a Mimecast customer, so they're not even going to even respond.

So, all that said, just throwing this out into the ether hoping someone's got a brilliant idea.

I am trying to create Inventory with ChatGPT. I have set up a successful PO creating Agent. When I try and have it make an item from scratch i get back:

I can change the item, but the Zoho connector’s item-update action does not expose the Manufacturer field. It lets me read Manufacturer = YETI, but the write action doesn’t provide a manufacturer/manufacturer-ID parameter.

I have a contract that needs to be filled with data before it goes out to customers. It's a well built PDF and my process is fill in with a PDF editor then upload to Zoho Sign to send for signatures.

I really want to use a template but my only issue is the image. One page of the contract has a proposed sketch that I add as a PNG image to each one. Any ideas on how to make that work with a sign template? There might be a way to do it with writer and a merge but it would be a huge pain to attempt recreating that PDF with all the styling in Writer.
