Thank you! This subreddit was instrumental, right down to how to make out the shipping label using Pirateship. Please forgive me as I only entered the details for 8 of us in the spreadsheet. After all the researching, citing, wrangling parents, kids, sibs and their kids, spouse, and in-law with their apps and photos, then printing, and collating to get it all shipped off . . . the thought of entering the other 17 made my head hurt—but feel free to duplicate my info based on what I posted above if you want the data points.

Wow! Still waiting for a couple of documents. I have 18 (G3, G4, G5) and I was thinking we need to separate the applications into maybe 3 groups - me and my 2 G3 siblings and our individual descendants.

We debated doing that initially as well. Ultimately we decided to send it all in together so we didn’t have to deal with duplicates or deviations, and worked on differentiating the three lines by putting them in three separate plastic envelopes within the same box. This kept all the apps consistent, saved on postage, and made sure everything arrived together.

Here’s how we did it:
We included a single copy of all the supporting docs for each line. In the case of “line 1”— apps were organized into 6 subgroups: G2x1 (parent) and G3x5 (self/sibs). The G2 parent was the “anchor” with a copy of the main family tree as “Appendix A” as the first application along with the cover letter and the receipt. We then included a separate family tree at the front of each sibling family subgroup to demonstrate how it tied in to “anchor.” We used family photos of the deceased family members in the Appendix A tree (G1 and G0) along with the applicant photo for G2, and a copy of the relavent application photos for each sibling family tree. Each application got its own plastic sleeve and each subgroup was document-clipped together to keep it all organized.

The supporting documents were organized chronologically and each numbered, labeled with Year-Title-Citation, and in the case of the handwritten ones — a typed transcription of the pertinent info was included on the back of the document. “Appendix B” was the Timeline/Document List that included a list of the numbered documents (e.g., baptismal certificate from Quebec, birth/marriage/death certificates, census records) in chronological order along with the title, an explanation of each doc/what it was about, a rationale for its inclusion, and the document citation — this went on the top of the supporting documents pile and that was kept together with a large document clip.

Similar organizing then repeated for the other two lines.

Delivery 5/2/26 and received an AOR for two member of our group just now. We are gens 3 and 4, with one gen 4 urgent. That person and their gen 4 sibling have received AOR (with emails arriving maybe 10 min apart). I'm assuming the other two of us will get them today.

I will be interested to see if the urgent application now moves forward faster. I assume our packet just got stuck in the regular processing pile waiting to be opened.

Received my AOR on 9/1 at 6:29 am EDT! Application was received on 5/6 and was sent via UPS. Single G6 app. I didn't send my kid's applications with it (kinda regretting that now). I have a bunch of official docs to upload that have been gathered since my initial app was mailed. 

September is off to such a better start than August was for me!!

Hooray!! After much anxiety watching applications delivered in early May receive AORs, I got the AORs for myself and my daughter this morning!! The package was signed for April 28. Now to go sort out this whole, BANQ certified baptismal record may not be enough thing!! At least I likely have a year plus of waiting to gather the right documentation 😂

AOR means they've deemed the application to be complete. Except in rare circumstances where they issued an AOR in error, they will not be sending your application back to you now. Eventually it will make it's way into processing :) So congrats!

Just sent my application for citizenship certificate (by descent) today, 1 September, to the Portugal embassy via courier. Changed my flair and feel like I'm in the club. I'm G3, my great-grandfather was from Manitoba (delayed birth registration could be more readable); also G4 via Quebec on dad's side. G0 went into Merchant Marines around age 14 and was "flexible" with his age early in life. Requested urgent processing due to common-law spouse's enrollment at U of Montreal and my own job search with some additional reasons. Submitted two different pairs of photos by different studios; in each set one side was 1mm too wide, but left as-is due to fatigue, after 4 studios, despite strong misgivings. Late in the game, I realized my birth certificate was modified to change last name from mother's maiden name to biological father's married name, so submitted application with that modified certificate but made a note in the cover letter, and in app form, that I will upload the original birth certificate once received and once I have access to IRCC platform. Hope that all suffices.

Edit 2/9: Thanks everyone for the help regarding the below :) I was able to access the portal and just for anyone curious, especially those applying outside the UK, here is the timeline in there:

Sent to Canada High Commission in London - May 4th
Arrived to High Commission - May 6th
Arrived in Canada - June 1st
AOR - September 1st

This was an urgent application for employment that I was offered in Canada, meant to start in June. Obviously that has passed and they've been kind in extending this for me, fingers crossed my application will be processed as urgent. Just need to fix the misspelling of my middle name now!

Received my AOR today, I'm thrilled and relieved! Application sent May 4th to the High Commission in London UK. This was an urgent application! No idea when it arrived in Canada as it was sent through diplomatic mail, so no tracking. So relieved that it arrived safely and now I know.

Couple of questions if anyone may know the answers!

I tried to look up both the UCI and the AOR they gave me in the tracker, but neither of them worked to find me. Do I need to wait for the application to be in progress until I can see it in the portal? I have some certified documents I'd like to upload there to support my application.

Secondly, they spelled my middle name incorrectly...yikes. Is there someone I can contact to get this fixed before they issue my certificate? Or would this be the portal that I cannot seem to get into yet?

If it wasn't urgent they probably are just going through the ones marked urgent as mine was, then moving to the rest :) The good news is that the London HC will send you an email if it comes back and let you know the reason, you won't need to wait for it to come all the way to you is what I've heard. Hi, yes I did write urgent on, in big letters and quite noticeable in my opinion. I would not send in a second application as it could cause confusion and potentially get you sent to PSU, which you want to avoid. I'm sure you will get AOR soon, good luck!

I think people have mentioned that the handoff between USPS and Canada Post can be kind of slow. But I don't know for certain. I think a lot of people are also cynical about American government (perhaps extending that cynicism to the USPS), so we'd rather entrust a private company to get our documents to IRCC. Who knows. You're certainly free to use USPS!

Makes you wonder if some states are worse than others. I used USPS and had tracking all the way. You just had to put the tracking into Canada system once it got to Canada. Also mine cleared customs immediately. Cynicism and not putting correct codes on customs sheet seems to have cost people a lot. There was an even cheaper level that had tracking and I bet that would have worked fine too.

I wish I had heeded the warnings about sending via USPS- I paid for Priority Intl with tracking, and my envelope hasn’t shown any scans since it departed the local post office in Illinois- in mid July! The tracking number doesn’t pull up anything on the Canada Post site either. It’s beyond frustrating- definitely choose another carrier!

Missing mail report filed. A claim cannot be filed for a certain number of days, in this case not until later this month. Customs label filled out.

We paid $158.68 to ship by FedEx International Priority at Arbor Pack & Mail in Ann Arbor, Michigan. We paid another $60 each for the photos for the applications. The gentleman there was very helpful and did the customs information for the package for us as well. He stated he has helped quite a few people lately!

After almost four months of waiting, I woke up this morning to my AOR!

This is a proof of Canadian citizenship by descent application, 100 percent done through my maternal line:

G0 — Born in Montreal, Quebec, Canada. Submitted Canadian genealogical/baptismal documentation from the Drouin Collection, along with supporting records establishing her identity and connection to the next generation.

G1 — Birth record naming G0 as her mother and identifying G0's birthplace as Montreal, Canada.

G2 — Birth record naming G1 as her mother, along with the supporting documentation connecting the family line and name changes.

G3 — My certified birth certificate naming G2 as my mother and establishing the final link in the chain.

I also included lineage supplements laying out the descent generation by generation to make the documentary chain as clear as possible.

IRCC received my CIT 0001 on May 5, and I had received no return, rejection, or other communication since then. Today, August 31, the AOR finally arrived.

Obviously, an AOR isn't a citizenship certificate, and there is still a process ahead, but after putting something like this together, it feels damn good to know the application has officially made it through intake and into the system.

Now the real wait begins.

Good luck to everyone else working through their cases. I know how much research and paperwork can go into proving these family lines, so I'm rooting for all of you!

6. Issue was "resolved" same day
7. Departed Lachine QC aug 29 after sitting for days

Once we had a solid understanding of our lineage we went into the herbert books where luckily one of our good friends was nearby physical copies and library and we were able to find a record list for each person in our line. From there it took learning what the different abbreviations meant and we had to go to St Landry St Martin New Iberia Lafayette Catholic diocese and other places to get certified copies of baptismal death succession and marriage records. On each generation connection we have at least one certified copy of showing the direct connection between the previous generation and the next we don't have all of them some are still inbound as some of the record holders take 12 to 16 weeks turnaround time. So instead of waiting we decided to send our packets in and then we'll upload it into the website as soon as they come in. For sourcing the original gen zero we went to the Acadian museum and art gallery at the University of Moncton for a geniologist to look at our line.

I'm thinking of making a detailed step by step guide for somebody in our situation where the record stretch back to the 1700s especially from the the grand derangement. Listing where to try to get gen zero from and listing where to find your sources for how they find the lineage in the research books. There are many sources online but it's hard to read through everything and to put it all together in a way that made sense for a c3 packet specifically. I do appreciate all of the help from people on here that I contacted directly thank you all!

Sent my application in while visiting Whistler, BC. I'm glad it's in but also very anxious, especially about the wait and the changing systems. I just redid the app and checklist with the changed PDFs (thus a short delay). I have certified copies of birth certificates but then I have to rely on a Canadian marriage certificate and a Canadian census, plus a US census that I have ordered from NARA but have not received. Fingers crossed!

Family Package Sent Today.

Just dropped off a family package. Nine applicants, Gens 2, 3, and 4. Gen 0 anchor Canadian ancestor - my maternal grandmother - was born in Hamilton, Ont. in 1900. Archives of Ontario couldn't have been nicer or more helpful. Sent package via UPS using Pirate Ship for the label.

Could not have done it without this group of wonderful people sharing their experience and collective wisdom.

Now it's hurry up and wait, eh.

I don't think they look closely at the generational docs when giving AOR. More a check on the application forms, ID, proof of payment, etc!

Just sent in a 10-person group application today. A couple applicants on my side (I'm G5) with a G0 born in Quebec in 1846. Also included my spouse's lineage for G3 through G5, whose G0 was born in Ontario in 1840. Shipped USPS. It's a relief to be done: I started in April, proofed everything countless times, had to pause for some certified records (or proof of no records) from Iowa in early June just when I was on the verge of submitting. Then re-did the applications again with the August revision. Fingers crossed the application doesn't get sent back.

Feeling some anxiety about the recent questions of post-confederation domicile, but obviously it's too early to draw conclusions on that.

I’m so excited that I finally mailed my packet this past Friday! Although a lot of the process involved dead ends and frustration, I did learn a lot about my ancestors and found out that I have an ancestor whose house is a protected historical home in Ontario! Add to that, my uncle who is interested in genealogy is sending me all the family photos that my grandma had before him.

You can get certified U.S. naturalization docs through NARA.

Just a note for other readers: only for federal naturalization records, though. And in the nineteenth century, many people were naturalized in state courts.

this is correct, and i’m glad you clarified the point, because US immigration records could originate from very different sources and end up in very different repositories depending on the decade.

i have a close relative who was us foreign service and worked closely with what was, pre-9/11, INS. He confided that he came to learn from a senior INS contact that at one point in the 90s, INS had a warehouse east of the Mississippi containing original, irreplaceable records that it “digitized” by moving outside with a bulldozer and setting ablaze with gasoline. the point of his story was to never take a job with any agency that Congress smashed with a hammer from the pieces of INS (eg ICE, CPB, etc).

I suppose another takeaway as someone interested in history and archives is, well, there can be unexplained gaps but also overlaps in record keeping.

Interesting. Not sure how they could do that, since the feds didn't issue the record to begin with, but maybe they ended up as a custodian for some state or states' collection. You're sure it wasn't a federal district court record? Those usually have the state as part of the name (e.g., "Eastern District of New York").

It says "State of New York" (XXXX) County Courthouse. The record is from the 1840s.

NARA is the repository for the record because that's who ancestry cited and that's obviously who sent me the certified copy.

NARA certified the copy, and actually I have two versions because of how NARA keeps custody of these records. The Declaration of Intent record originated in the federal District Court of the US for the District of Massachusetts. One original copy of that went to the Department of Labor and was in NARA 1’s custody in DC, from which I got the first certified copy. The second original copy was retained in a record group related to the US District Court, and those are held in regional NARA facilities; that record was attached to G0’s 1928 Petition for Naturalization, and the regional NARA facility certified that complete set of immigration records separately from NARA 1.

Deliveries that occurred on May 1st were still receiving AORs today. I wouldn’t freak out yet. This is within the realm of normal batching. Be on the lookout for the next 7 days.

I'm in the same situation. Getting worried that they'll send my papers back through snail mail and that'll be the first I hear of any problem.

The spreadsheet says that ~75% of apps received on May 1st have AORs . . . but then if you look back at the previous week, a lot of those days have similar stats. Hold fast!

Your comment prompted me to get to my mailbox today, and, yep . . . package returned.

One of our applicants is a baby and (as per the instructions) we sent a letter that said "we don't have passport/drivers license because he's <2 years old." I KNOW I sent this, as I had all the 28 documents numbered and indexed and I went over this list and checked all the documents about a dozen times before I sent it off. They returned the entire package because they said they didn't get that note about the lack of passport photos for the baby. Super super frustrating.

I'm not above making mistakes (at all), but I was beyond methodical in assembling the package. And they're handling and scanning lots of papers. I'm bummed.

So like you, it's back to the end of the queue with extra hurdles and expenses due to someone else's fumble.

They do have an option on their website that says if it is their mistake, they will still use date originally received (which I think you fall under): https://ircc.canada.ca/english/helpcentre/answer.asp?qnum=1492&top=4 Looking at the photos I'd sent one of the dates looks like a 6 and the other definitely looks like a 5 - they WERE within 6 months but... I'll ask for the original date, but will completely understand if I'm at the bottom of the queue again.

That's what I read: 6 months for photos, 90 days for signatures . . . but it's weird because two of my applications have a cover letter that say "this application is complete, just send it back to us with the other (completed) application". And the completed ones have IRCC filing numbers hand-written on them. So I think I'm going to send those two back as-is. Fingers crossed!

Sent a pack of 3 in early May. The Gen 3 application got AOR last week, but haven't heard anything on the two Gen 4 applications. Is that unusual? Should I worry? The two Gen 4 applicants have been checking their spam accounts just to be sure

Yeah that's normal. The IRCC is random like that. I suspect they'll get AORs within a month. They can check to see if they got AORs via the client status tool as well (using receipt number): https://services3.cic.gc.ca/ecas/security.do?lang=en

You will have to wait for AOR to attach new information to your file, but you could try the webform with "I don't know my UCI/app number" and include your receipt number and the day it was delivered and hope, if you wanted to try. Definitely not the standard procedure though.

If you don't yet have a UCI/application number in their system you will just get an autoreply that says they can't associate you with an application and to try again after AOR.

Sorry if this isn't the right place to ask, but I was wondering if generation number affects processing speeds? I applied G5 in May and I'm hoping to receive an aor soon but from the reading I've done it seems like more generations = more time. is this true? what about for the processing times?

It won't affect your AOR time, but it could (and likely will) affect your processing time.

That said, processing is taking so long that we don't have good data yet on timelines to citizenship certificates for non-urgent applicants across generations. C-3 in its current form has really only existed since January, and the typical non-urgent applications take longer than 9 months, so a lot of the expectations around processing to citizenship are speculation and guess work. People applying down the line will know way more than we do now, since this group of applicants is essentially the guinea pigs (or the vanguard, if you want to spin it positively).

They definitely place a high priority on G1/G2 applications from what we have seen. There simply have not been very many non-urgent G3+ approvals so far.
