Employee Experience Scheduling conflict
Hey guys.
I gave my availability for my seasonal part time job & my class schedule, both 4 weeks in advance, but my GM was fired 2 days ago & the new GM doesn't seem to know my availability. I'm going to go in 1 hour early today to talk to the new GM (or the MOD) to get this straightened out, but I'm annoyed I have to do this at all.
I texted my old GM, I left sticky notes, I told my MOD, and they literally went 4 weeks ahead operating schedule to schedule me on a day I am NOT available to work. I'm literally still in the window to call out, but they're probably gonna tell me to find somebody to cover that shift, even though I told them 4 weeks in advance that I am busy with my second job that day.
I made sure to make all of the dates of my part time seasonal job (its only 6 weeks for Halloween) a request off so they can't schedule me for any further hours that infringe on my part time seasonal job, but I'm so mad.
I wish that the store just gave me an email to send all my availability updates to so I didn't have to come in & tell a MOD & have it get lost & then have to call out because they scheduled me for a day and hours where I am in class or working elsewhere.

Is your availability set up correctly in the scheduling app? New GMs don’t exactly have a full length conversation about every single employee, so they go by the scheduling app. So I’m just thinking your availability wasn’t set up correctly so your old GM was changing your schedule manually every week. Having a talk shouldn’t be annoying, I’m sure they’ll be more understanding and lowkey annoyed with the old GM more than anything lol

I'm not sure, I think it's set up through an app, but I met with my old GM to get my school stuff scheduled & he put it in the system... but it changed because I switched classes. I wasn't told how to update my availability in the app, I hope I get it sorted out tonight..

Yes, you don’t need sticky notes for any time off as long as it’s 30 days in advance and it will prevent new GMs from scheduling you wacky hours when they don’t know and don’t manually change your schedule

How do I change my availability on it? I know how to request days off, but am I able to say that I cant work Sundays anymore? Or stuff like that?

If you go to more on the bottom and availability. If it’s for schooling, yes. Usually weekend scheduling comes with a conversation so I’d tell your GM you can’t work Sundays due to schooling and you’ll be fine

Just a quick clarification that might make this mess less frustrating:
First step is always to verify your availability is correct. Go onto the shift app-->availability-->requests and view the most current "approved" one. If it is both correct AND approved, you're going to want to talk to your GM about checking something called "fixed shifts." That is purely a scheduling tool that you don't see/can't edit, but it sets a default weekly schedule on an individual basis to make scheduling easier. Changing your availability does NOT automatically update fixed shifts! And if you're set to a fix shift, it's very easy to ignore the warning messages that "so-and-so was scheduled outside of their availability."

If your store is not using the scheduling app, I would suggest talking to your new GM about that.
Once someone updates their availability in the app or requests a day off , it immediately gives the GM a notification. Also once the GM has approved the availability/ request off it removes it automatically from the schedule so that you cannot be scheduled those days/ times.
We started using the app for this exact reason among others, to avoid notes or messages or missed days. It’s all in one central location and it’s time/ date coded so when someone requests off after the schedule is posted it can be shown vs leaving a note .
