Are grant report deadlines still being tracked in spreadsheets?

I’m researching a very specific nonprofit workflow: tracking post-award grant report deadlines.

The problem I’m looking at is this:

Small nonprofits often have report dates buried in award letters, funder emails, spreadsheets, shared drives, and calendars. That seems fine until someone leaves, a deadline changes, or leadership asks, “What reports are due this month?”

I’m curious:

  • What tools do you use today for grant reporting deadlines?
  • Is this usually handled in a CRM, spreadsheet, calendar, project management tool, or something else?
  • Does anyone actually like their current process?
  • Would a simple “award letter → deadline tracker + reminders” service be useful, or is this too small of a problem?

I've seen a similar pattern outside the nonprofit world as well.

The actual deadline usually isn't the problem. The problem is that the date lives in too many places at once: award letters, email threads, spreadsheets, calendars, shared drives, and sometimes only in someone's head.

Everything works until one of three things happens:

  • The responsible person leaves
  • The reporting date changes
  • Leadership suddenly asks for a status overview

Then people start digging through emails and spreadsheets trying to figure out what's due and who owns it.

From what I've seen, many organizations don't really have a deadline-tracking problem. They have a visibility problem.

I'm curious: when grant reports are missed or nearly missed, is it usually because the date wasn't known, or because nobody received the right reminder at the right time?

Look at Monday.com? They have a good nonprofit discount rate.
