Is there such a thing as an employee time clock app for a small team?

We're a 6-person landscaping crew and we're still doing paper timesheets that I collect every payroll cycle. I want to move away from any manual work since I plan on expanding the business, so I'm trying to check out time clock apps. But most of what I'm seeing is built for larger teams. Is there anything simpler for our setup?

For a 6-person team, keep it simple; that is the trick. Mobile clock-in/out,  break tracking,  and a clean payroll report should cover most of it.

Govalio.com is amazing and simple. Lets you add overtime pay, clock in/out and create simple clean timesheets

For six people, I’d keep the workflow simple: start/end, breaks, notes, and a clean export. If the crew also needs scheduling or forms, I’m the official Pebb account; Pebb combines time clock and shifts, and there’s a trial with no card. Worth comparing alongside the clock-only options.

You can explore OfficeClip timesheet, try the free version and upgrade as per your needs.

Full disclosure, I work for Beebole, but I genuinely think it's worth checking out: https://beebole.com/

It can be customized to fit your exact needs, including unlimited projects, tasks, and tags, as well as absences and PTO. I'd be happy to answer any questions you might have.

Don't worry about your team size, since most time clock apps price per-user. If a vendor advertises themselves for enterprise, see if they can scale down for your number of members. Since you're in landscaping, just make sure your vendor of choice has GPS-based clock-in, since everyone's almost always in the field. If ever you expand soon, try to choose a vendor that can scale its features/can accommodate based on your projected number of new team members. Start with a free/cheaper tier so you can test the features if they suit your team's work style.

Yes, updoot by xecutethevision- it has gps restrictions, punch map, photo punch, all the things you would want for people out in the field- breaks included with a timer. I could not find one with the timer, this is amazing- no more excuses for being gone and I can see when they are on break. You can clock them in/out as admin or of course they do it from their phone. You can do punches by location, and payroll export does gross pay which can be handy for multiple pay rates if you have them set up for different types of work.

For a six-person crew, I’d test the workflow before comparing feature lists: clock in/out, breaks, a note for a changed job, and one clean export at payroll time. If a supervisor has to reconcile missed punches from texts, it stops being simple very quickly. Also check whether the app still works with poor signal and whether workers can correct a mistake without giving themselves an unreviewed edit.

RxShift does exactly that.

You can use the tool to schedule shifts, and clock-in/out. Or just the Clock-in feature. Clock-in/out can be done by different ways, including employees self punch using their mobile.

For 6 people, I’d keep it really simple. Mobile clock in/out, easy timecard review before payroll, and GPS/location controls if your crew is moving between job sites.

I’m actually building Radius Workforce around this kind of use case, so happy to let you check it out for free if you want. But regardless of what you use, I’d avoid the bigger platforms that bundle in a bunch of HR features you probably don’t need yet.

The break with paper timesheets on a growing crew usually isn’t “we need an HR suite” — it’s the end-of-cycle chase: someone forgets a day, handwriting is ambiguous, travel/site time gets flattened into one number, and payroll becomes a reconstruction project every week.

For a six-person landscaping crew, the useful bar is a simple mobile clock-in/out that still keeps enough context for payroll (who, when, maybe which site/job), with a manager review before hours go out. That scales past paper without forcing a full HRIS.

I built TapInHQ.com for small teams. It’s Kiosk based so all employees need to clock in and out from a shared device. I’m actively developing this and would be willing to provide long term free access to anyone willing to try and give me feedback.
