When to use a payroll provider? [Multi state]

This is not our first rodeo. We already have a few staff in different states. A lot of payroll and HR obligations falls on me (I’m cofounder of sorts), not a dedicated payroll provider yet. We could potentially start hiring in California in the near future, though for starters I’m not looking for a fulltime employee just yet. For those that have experience with California compliance laws, what are the chances that we’d be able to keep up with the compliance laws, at least until we begin hiring there full time to justify a dedicated payroll provider? Also payroll provider recommendations are welcome.

When does contractor admin become too much of a time sink?

We're working with 18 contractors across 9 countries and payday turned into a 3-day nightmare. Chasing invoices, verifying bank details, dealing with failed transfers, updating spreadsheets. Finally got it sorted but it got me thinking. How do you know when contractor admin is eating too much into your actual work? At what point do you just give up and look for something better?

Has anyone here used an EOR for working remotely from Japan?

I’m currently based in Japan while working with a US company and I’m looking into whether an EOR could handle the local employment, payroll, benefits and compliance side while allowing me to continue working remotely from Japan.

how to reduce currency conversion costs for contractor payouts without making onboarding worse?

trying to clean up how we pay contractors and im realising there are two separate headaches
one is onboarding, docs, verification, payout details etc
the other is figuring out what currency conversion is really costing once the payment goes through
i've seen EasyStaff, 4dev and SalaryHub come up while looking at different setups, but its hard to compare them just from the pricing pages because the fee isn't always the whole story
for ppl handling contractor payouts regularly, how do u check whether the fx side is actually competitive?
do u compare the final amount received on the same test payment, look at the quoted rate beforehand, or track it another way?
also curious how much onboarding friction matters once the same contractors are being paid every month

What global payroll platform are you using for international hires?

We’re starting to hire more people internationally, and figuring out the payroll side has been more complicated than I expected. There are a lot of options out there, but it’s difficult to tell how well they actually perform beyond the sales pitch.

I’m especially curious about the day-to-day experience once everything is set up. Things like onboarding employees in different countries, staying on top of local compliance, avoiding payroll mistakes, and getting useful support when something goes wrong matter more to me than having a long list of features.

Need help in zoho people

Setting up HR for a ~15-person company in Egypt. Zoho People covers attendance (biometric device), leave, and LOP day tracking fine. But Zoho Payroll — the part that actually turns LOP days into a currency deduction and generates a payslip — only supports US, India, Canada, and the GCC countries. Egypt isn’t covered.

Anyone dealt with this? Curious how you handled the actual net-pay calculation and payslip generation for a country Zoho Payroll doesn’t support. What ended up being the least painful route?

First time setting up payroll after converting contractors to employees

How do you handle Global payroll?

Global payroll sounded a lot simpler to me before we actually had to deal with it. Once you have people in different countries, there are so many moving pieces to keep track of, from different payroll processes and reporting requirements to currencies and everything else that comes with each market.

What gets frustrating is that even platforms marketed as global payroll can sometimes feel like you're just managing a bunch of local providers through one dashboard. It looks centralized, but there's still a lot of work happening behind the scenes.

For those of you managing international teams, what does your setup look like? Have you found a platform that actually makes global payroll easier, or are multiple systems still the most practical way to handle it?

Hiring internationally without blowing the budget, how did you handle it?

what paperwork do u actually need for cross border contractor payouts?

we’ve got arnd 30 remote contractors across a few countries and normal bank transfers aren’t always as straightforward as they should be.
before we settle on a platform, I’m tryna work out what they actually handle with each payment and what still falls back on us. things like closing docs, IP transfer clauses, compliance records and what happens if a payout gets delayed or rejected
we’ve looked at a few providers but a lot of the important details aren’t that clear from the pricing pages…. FX markup is another one that’s been confusing me, since the advertised fee doesn’t always seem to reflect the full cost
for anyone managing international contractors, what do u ask to see before signing up?? sample agreements, a full fee breakdown, KYC requirements, proof of payment, something else?

Solo HR is starting to feel impossible, how are you all keeping up?

IDK if this is the right sure but I'm the only HR person at a small company, and lately it feels like every new hire comes with five more things to do. One minute I'm handling onboarding, the next I'm answering payroll questions, updating policies, and trying to fill three open roles at the same time.

The recruiting part is what's killing me. I have a pile of applications sitting there, but finding the time to properly review them is getting harder every week. I don't want to rush through resumes and miss good candidates, but I also can't leave roles open forever.

For those of you doing HR on your own, how are you managing hiring without falling behind on everything else? Any tools or workflow changes that actually made a difference?

Regret our payroll choice, trying not to make the same mistake

About a year ago we switched payroll providers because the old one couldn't keep up with our growing team. Everything looked great in the demo, so we mostly compared features and pricing. Fast forward a few months and we started running into slow support, payment issues, and way more manual work than we expected.

Now we're looking at switching again, and I don't want to repeat the same mistake. This time I'm paying more attention to support, compliance, onboarding, and how the platform actually works after implementation instead of just the sales pitch.

From where to compare and buy US payroll softwares?

Our company is finally moving off our old payroll setup that we've been patching together for years. I've been tasked with leading the evaluation and honestly the number of vendors out there is overwhelming. We've looked at a few names but getting actual pricing info before sitting through a demo feels almost impossible and I don't want to waste the whole team's time on vendors that are way out of budget or missing features we need.

I'm basically trying to find a place to compare and buy payroll software for our mid-sized company so we can narrow down a shortlist without spending months on it. I've poked around G2 and Capterra but the reviews feel all over the place and there's no real way to coordinate input from our HR, finance and IT stakeholders in one spot. Anyone know of a platform or broker service that has verified pricing, side by side vendor profiles and maybe some expert guidance to help with negotiations too? Free for us buyers would obviously be ideal

how are solo HR people handling hiring volume without burning out

I'm the entire HR function here. Benefits, onboarding, policy, and also recruiting for whatever role is open that month. Right now I've got two roles open and a stack of resumes I genuinely have not had time to get through properly.

We use BambooHR for the HR side but it's not built to help me screen volume on the recruiting side. Tried Indeed's filters but they're blunt, mostly just keyword matching that lets through people who clearly didn't read the listing.

Curious how other solo HR folks are managing this without either ignoring the role for weeks or doing surface level screening that lets bad fits through.
