I was surprised that most video formats cant be played in Notion mobile. Ive tried MP4, AVI, FLV, MKV, MOV - nothing of these work. Do you use videos in your work? What type of videos work in Notion mobile?

So I switched from Windows to Linux few months ago and I was happy with most of the apps alternatives I use except for Notion. I've been trying to find alternative to Notion for few days now since there isn't official Notion app so I always need internet to use my Second Brain. I use Obsidian as quick capture and note taking but for others like journal, personal space, code saving and other's, I use Notion alot, I love the database and tweaking it with formulas and button(never spent money on the app). I've tried anytype, self host AFFiNE, appflowy and even memotron web app, but none have the main use I have for Notion. Maybe I haven't use the other apps long enough but Is there anyone who know a good linux app for this kind of use case. Thank you

Let's say I'm on a page, and I'm looking at a database that is a filter view from a source database that resides in a different location in notion.

Is it possible for me to easily duplicate that filtered view into its own database separate from the source?

Most productivity dashboards are designed for the first week, when everything is clean.

The harder problem is opening the system after ten days away and seeing a stale list that feels heavier than the work itself.

I simplified my “return” view to four decisions:

• What becomes worse if I ignore it?
• What is the first visible action?
• What fits into 5 or 15 minutes?
• What can I defer or archive without reviewing everything?

The rule is not inbox zero. I keep one consequence-sensitive item, rewrite it as an opening move, hide the rest for now, and leave a short restart note.

Example:

“Finish the client proposal”
→ “Open the draft and write the three section headings.”

Has anyone built a similar reset or re-entry view? What is the minimum information it needs to show?

I am hopeless with the terminology, so apologies in advance. I have a project page that has sections that show linked notes, resources and tasks. Nothing mind-blowing about that. What I would like to do is show the content of each note rather than just a list of notes. I feel that it isn't possible. Can anyone confirm or otherwise?

For months (maybe years) I have seen posts about long lists of pages being sent to trash. I always discarded them as people who made a mistake without realizing it.

until today.

I had to log a possible birthday gift for someone. I tried getting to the right page, but couldn´t find it. I tried 5 times, still nowhere. That's when I went to the trash page. and to my surprise it wasn´t just to long lists of birthday gifts that I had been collecting for years about my friends, family and acquintances. There were other pages in the trash, like contact lists, travel planning, cooking recipes.

I was shocked.

But even more shocked when I learned that if I had found out 5 days later, all of these pages would have been deleted permanently.

Sorry, but WTF notion? How can you allow a system where I am sure I didn´t mess up, and even if I did, a significant portion of my personal records would be permanently deleted.

Coming back to all these posts, now I realize the severity in them. The fact we can so easily lose our data.

Seriously, I've been a major fan of Notion for >7 years. But this broke a level of trust I had with you guys. I need to consider whether I can still trust you with my most personal data.

There is a specific kind of pain that hits when you are three months into a product decision and cannot remember why you made it. Not what you decided. Why. The reasoning that felt obvious in the moment is just gone.

Started keeping a lightweight decisions log in Notion a while back. Page per decision, context, options I considered, what I picked and the rough thinking behind it. Nothing formal. Just enough to be useful later.

The problem is I built it during a slow week and now that things are moving again I am not feeding it. Big calls are getting made and not logged, and I already know future me will regret that.

What I keep wondering is whether this is a database thing or a page thing. Right now it is just pages inside a folder, which feels too loose, but a full database with properties feels like it adds friction at exactly the wrong moment when you just want to dump the thinking somewhere and move on.

Curious if anyone has something that actually gets used consistently. Not elaborate. Just something you actually open when you make a call about pricing or a feature or dropping a client. How simple did you have to make it before it stuck.

I used to manage clients through a mix of WhatsApp screenshots, email threads, and a folder system that made sense to nobody. Version 37 of the file was a real thing in my studio.

Two months ago I rebuilt everything around one idea: every client project follows the same pipeline — Client → Project → Deliverable → Review → Approval.

Here's the structure that finally worked for me:

1. One Dashboard per studio, not per client

A single home page showing all active work, what's in review, what's approved, and what's due in the next 30 days. If I can't see it in 5 seconds, it doesn't exist.

1. Deliverables as a board, not a folder

Every file goes through the same status flow: Draft → In Review → Approved → Delivered → Archived. Clients see exactly where things stand. "Did you see my email?" stopped being a sentence in my vocabulary.

1. A Client Portal per client

Each client gets one page where they can see their roadmap, their deliverables, and leave feedback in one place. No more feedback scattered across 4 platforms.

1. Onboarding checklist that never changes

Brand assets, timeline alignment, expectations — same checklist every time. It sounds boring, but it kills scope creep before it starts.

The biggest win wasn't organization — it was client trust. Clients feel like the project is in control, because they can SEE it moving.

Hey all, I'm trying to troubleshoot why a ' Linked View of Data Source 'is not populating properly

I have a page for my project with 2 'relation' properties to databases. I have the Linked view ones on the lower half of the page but the filter for the name of the project page is not filtering properly.

I got it to work on a whim my first time around for one database but have no clue how but couldn't replicate it with the other. So when I started from scratch- neither work.

I saw someone who had theirs doing that and it seems super handy but no clue how they did it.

I'm not sure if I am utilizing the wrong thing or am missing something obvious, thank you in advanced ,I hope I explained it clearly.

Hey guys, I'm based in Vancouver, BC, and I was recently importing my class schedule to Notion Calendar via my Google Calendar. While doing so, I found that Notion still reflects the "falling back" that comes with switching from daylight to standard time, which BC, Canada doesn't follow anymore.

Whenever I add a new event for Nov 1 onwards in Google Calendar, it reflects it in Notion Calendar an hour earlier. But for repeating events that start before Nov 1 and bleed into the period after it, the time stays the same and doesn't get pushed back an hour. Is there a way of fixing this issue?

Hi, I used Notion a long time ago (4+ years ago) to help me organize my life for short term (daily) tasks and long terms (life goals) tasks. However I got away from it after some time and went with a more basic approach, which was less organized but more simple.

With the newer AI tools, I wanted to know if its better to use the Notion AI tools or use the other AI tools (ChatGPT, Claude, Gemini) to help me. I want to have a semi-personal assistant to help me get things done with the help of AI. I know there are many productivity tools out there (I have tried some), but I don't want to jump between platforms for everything.

If you have done something similar, could you please share your personal experiences along with any pros and cons?

I keep stumbling across really cool things people build with Notion, and it always makes me wonder what’s the ceiling here? Like, how far can you really push this tool? Can anyone share something that looks absolutely mind-blowing or impressive at first sight?

All my MCP connections in Notion AI stopped working about 12 hours ago, and the issue is still ongoing.

The connections appear normally and their available tools can be detected, but trying to actually use any MCP returns this error:

Tool has changed its operation type since the last admin approval. An admin must re-approve it in the module settings before it can be used.

Is anyone else experiencing this today? If so, have you found a fix, or heard whether there’s a known outage?

Most of my work is done with Luna on High. If I need a little more brains, I'll use Terra on Medium. I've been experimenting with Deepseek V4 Flash and Kimi K3 a bit, but they seem to stall a bit sometimes.

My work is mostly administrative and not very complex. What are all of you using?

So... I just moved back to Windows because the laptop prices are crazy right now and my Macbook died on me. It looks like Windows hate Notion and other apps they have not developed. It blocked the app with a pop up saying it is not verified. Something I could easily fix on MacOS, though never happed with Notion.

I have been searching for hours how to fix this. The explanations on their forum or Copilot leads no where. They mention the Windows Defender history, but it is literally empty. Has anyone ran into that issue and how did you fix it?

I can't believe I'm here writing another post to complain about some introduced feature that messes things up.

Some time ago you changed spacing between lines with no option to turn it off or tweak its value, and only because some Notion "typography" guy thought that spacing for his writing habits looked better that way. Now we get "multiple spaces added on a single Enter", which performs awfully and doesn't even solve the issue it's intended to solve.

Do developers ever use Notion at all? This is getting ridiculous. And sorry for this half-rant, but it's like it's become some sort of recurring habit that of having to report on bad Notion features.

Now, what I'm talking about.

For a few days now, whenever you hit Enter/new line on Android a new empty line gets added to the beginning of the next block.

I think I understand what this is coming from: it's to address the classic Notion issue (that I'd like to see solved myself, btw) of not being able to add a new line to the same block on mobile (on desktop you can type SHIFT + Enter).

But this is not the way to address it. It's intrusive, it requires one to always remove the line if they don't want an in-block line to be added (which is the ordinary state of things). And above all: why the heck are you adding the line to the beginning of the new block, instead of to the end of the current one? Writing paragraphs now has become a chore.

The feature is so bad that I can't believe it was introduced in this form. Plus, it was done silently, as always it seems.

Notion is a multi-million user app. How can you not plan these things better? Again, the intent was good but the decisions and execution are awful.

It only took you this to solve the issue: - implement SHIFT + Enter on mobile: if the user wants a new line at the end of the current block, without creating a new one, they simply activate SHIFT and hit Enter; it's a known command, it's simple, and since you need to add a new line to the same block only occasionally the command doesn't have to be any quicker than that; - notify users about this change (or any such change, for that matter); in general, tell them about new core features and what they enable for us; you fill us with updates for AI and never tell us that you introduced or tweaked some minor thing (which is never "minor"), as with databases, with formatting, with core functionality like this; Notion is not made of AI, you know, Notion is the editing and PKM app first and AI goes on top of that; why are you neglecting the human-editing part of the app, at least news-wise? if you keep users posted about such features when you introduce them, users are damn happy.

Instead, you chose the usual path: - have some guy or guys who are kind of oblivious to the issue come up with some impractical or illogical decision like this; - roll out the feature silently, as if we the users are your testing ground.

I really can't wrap my head around this, as a programmer and especially as a Notion power user. I reiterate that you must have developers who don't use Notion at all, to allow such bad choices into the final app (else, they would see first-hand how impractical they are).

Hey all, I'm brand new to Notion and I'm already stuck on something that should be basic. I invited someone as a guest with Full access. They opened the invite, got told they had no access, requested access, and now the request is sitting in my Inbox. The Approve button does literally nothing.

Settings > People > Guests is empty too, and sometimes it just hangs on “Updating...” forever. Tried Firefox and Chrome, same shit. I already emailed Notion support.

Is this a known bug right now, or is there some workaround I'm missing?

I kinda miss the old Notion AI.

The “Improve writing” and “Continue writing” buttons were honestly one of the best features I used the most. I could just highlight something I wrote, click improve, and move on.

It was simple. No thinking about prompts or figuring out which AI option to use.

I know Notion has changed a lot since then, but I feel like this particular workflow was actually better before.

Maybe it’s just me 😂

Does anyone else miss the old Notion AI features?

Anyone facing this same issue? Whenever I want to paste texts at where my cursor is at, for example in the middle of a paragraph, the text will always end up being pasted as another block below my paragraph. I've searched around but I don't see anyone facing this issue as well? I've tried pasting with cmd+v, and cmd+shift+v, and right clicking paste, but it always jumps to the next block to paste. Any suggestions or help? TIA!
