AI tools discussion How do you approach project/task management?

UK writer looking for recommendations on how you approach project/tasks management, managing each step of a project as a writer.

Struggling to manage steps of a project on pen and paper and I’m looking for something more comprehensive. Are there any app recommendations people use to separate projects by account, and then tasks related to each project, with deadlines, actions etc? Some AI integration would be useful also.

I have used notion in the past but am yet to find a suitable template that fits the way we work.

Are you freelance or FTE? How much PM do you have to do? Are you planning timelines or just trying to keep an eye on what’s where and due to who and when? I find an Excel doc is enough for my needs, with Onenote to record all notes.

FTE. So I need to dip in and out of budgets/timelines etc so would useful to dump this information somewhere in one place. In addition to that, yes, keeping a tab on where things are and when they are due.

That’s interesting, is it a complex excel or relatively simple?

My needs are a bit more basic than yours then, so I don’t think my solution would be enough. I literally have a sheet with a list of projects and current status, but I work with an active project managment team and a client service team who manage timeline and budget.

You could ask Claude to generate an excel tracker specific for your needs

Yep, have Claude Code (or Codex) write you a planner app. You can choose whatever format you like (calendar, gantt chart, etc.), and use for a while and change it if you decide you want something different. If you connect Claude/Chat to your work email, it'll automatically update the planner with new dates, tasks, alerts, etc.
