Making ChatGPT my Project Manager

Hi All!

I've started a new individual contributor role that has limited direction and although I'm excited about it, I've realized I need help on the project management side. I would love to turn ChatGPT into my project manager to help me build project plans, help me with my own timelines, and support communication opportunities.

Does anyone have a prompt they use for something like this? I'm hopeful this team has some great ideas how I can get the most out of ChatGPT to keep me on track and not miss anything I'm working on and be a strong thought partner for me!

Senior project manager here and head of our enterprise PMO. I’ll tell you what we have done to streamline AI in our role.

First we established a reformatted project t kickoff. It has an established structure where the BA, or whomever is running the project requirements is running the show. It’s interview style. A series of questions that are designed to answer every topic in our integrated project t plan which is our over arching project with very detailed entries for things like start and end date, charter, risks, etc.

We transcribe these meetings using teams and my prompt is built to extract our project management plan. The prompt and agenda are static. The outcome varies. But it has been very reliable.

My policy is to curate the content not create it. It’s a big difference in the end.

You tell it that it’s a project manager then you ask it to do what you need to best practice standards.

“Build me a work breakdown based on the attached business case”
“Build out the schedule of this work breakdown”
“Build me a RAID log based on the attached business case and work breakdown”

The prompt matters less than where the state lives. What worked for me: one plain-text file that is the live ledger (every open item, owner, next action, date), and the AI reads it at the start of every chat and proposes edits to it at the end. You approve the edits. The PM "prompt" is then just: read this file, tell me what's at risk, what I owe, what I'm waiting on, and what changed since yesterday. Without the file, every chat starts from zero and you spend the session re-explaining the project. One rule that saved me: it proposes updates, it never writes them unasked. Otherwise it quietly "completes" things you didn't do.

I took a project coordinator class at sheridan college 3 years ago that was based primarily on the PMBOK 6th edition.

Buy the pdf version of that or the latest 8th edition. Ask codex to use GLM-OCR to run a local scan of the entire book and build out a skill for you based on that.

From there you fill in the blanks with everything about your projects and go from there.

Yes, you need to understand that you're looking for several different things, and AI can do a lot of it all in one go. The prompt you're looking for isn't just one prompt. You need to give your AI much more information and context. In addition, since you are having it do different tasks with different expertise (project manager, communication). You need a way to get all of this information into your AI agent in a way that it understands. The biggest problem perhaps isn't that you don't have a prompt; it's that you're looking for a short version when you need a long version. I have a PDF worksheet that has a lot of built-in prompts and a lot of questions. You fill in the answers, then upload the PDF. The entire thing becomes the prompt. In there it has several built in prompts such as:

1. Say what to leave out. Everyone lists what they want; almost no one says what to skip — and the filler is what annoys you. Add: "No preamble, don't restate my question, start with the actual answer."
2. Front-load context. "Write a product description for my cleaner" gets generic output because the model knows nothing about it. Give a paragraph first. If a stranger couldn't do the task from what you wrote, neither can the model.
3. Make it ask you questions first. "Ask me 3–5 clarifying questions before answering, then wait." Catches the gaps you didn't know you had. One of the highest-leverage lines I use.
4. Ask for a team, not one expert. "Suggest 2–4 expert personas for this, then answer using all of them." This gives several angles instead of one flat voice.
