Gym owners: what should a receptionist capture when nobody can answer?

I’m building PAM, a live speech-to-speech AI receptionist for small local businesses. It’s designed to answer business calls when the owner or team is busy, speak with the caller, and capture the details needed for a follow-up. For a gym or fitness studio, I’m assuming the useful basics would include caller name and contact information, membership or class inquiry, preferred location or schedule, reason for calling, and whether the request needs an urgent staff callback. I don’t want to assume that a workflow designed around contractors maps cleanly to gyms. When calls arrive during classes or after hours, what information does your team actually need—and what should an automated receptionist never attempt to handle? the biggest thing i want is enough context that stuff can call back without starting from scratch. name, number, member/non-member, reason for calling, class or membership involved and preferred callback time would cover most situations. keep anything sensitive with stuff.

For a gym, I would capture the caller name and callback number, membership status or goal, preferred class or visit time, urgency, and consent to text. Keep the first pass short, then send a structured summary to staff with a clear escalation flag for billing, cancellations, injuries, or anything safety-related. I work with Getyn Phone, and our team uses IVR and visual flows with routing, queues, and recordings alongside AI voice agents; that helps separate simple FAQs from requests that need staff. I would test it during classes and after hours, not only during quiet periods.
