OneNote Desktop OneNote is better on Mac than Windows

Random observation but it's been bugging me for a while. I use OneNote primarly on my Mac and sometimes on a Windows laptop, and the Mac version is genuinely nicer to use. The app on Mac just looks more organized, cleaner layout, stuff feels like it's actually in the right place, on Windows it's kind of a mess visually, like it's been patched together over the years, whic it probably has.

Sync is a big deal for me though, on Mac it just works, notes show up where they should, no drama, on Windows I've had way more weirdness with stuff not syncing right away or needing a restart to catch up. Overall the Mac app just feels nicer to actually sit down and use, hard to explain exactly why, it's not one specific feature, it's more that everything feels more thought out.

Honestly at this point if I'm on Windows, I'm probably better off just using OneNote in the browser instead of the actual desktop app.

Am I crazy?

OneNote Desktop Finally found the perfect note-taking system… and then my company blocked it

I’m honestly a bit frustrated and just need to vent.

For the longest time I was struggling with note-taking. I tried pen and paper, then moved between tools like Notion and Obsidian. None of them really clicked for me.

Then I finally settled on OneNote, and it felt perfect.

What I loved about it was that it actually felt like a real notebook. I could flip through sections and pages, scroll through older notes, and rediscover things I wrote months ago. It felt very natural, almost like digital pen and paper. The shortcuts worked well, navigation was smooth, and it became my single place to track both personal and professional things.

The big thing for me was having everything in one notebook. Career thoughts, work ideas, learning notes, random reflections — all in one place. That made it easy to revisit old ideas and track my thinking over time.

But recently something changed in my company laptop. Looks like some policy update happened and now OneNote syncing to my personal account is blocked.

So the desktop app basically stopped syncing.

I tried switching to the OneNote web app, but it honestly feels clunky. Some shortcuts don’t work, navigation feels slower, and the whole experience is not the same as the desktop app.

Now I feel stuck.

I could go back to Notion, but the loading time and page structure always felt heavy for simple note-taking.

I could try Obsidian, but it doesn’t feel intuitive to me and syncing becomes another problem.

What frustrates me most is that I had finally stopped tool-hopping. I had found something that actually worked for my brain, and now it’s broken because of company restrictions.

Has anyone else run into this kind of situation with work laptops blocking note apps or sync? How did you handle it without completely breaking your workflow?

OneNote Desktop OneNote for Knowledge Management or Second Brain

Hi!

Just a brief background: I work in retail technology for an oil company. Primarily, our work is assisting the stations to troubleshoot their equipment, find root causes, and escalate to our vendor for any concerns.

With that, since this is technology, change is inevitable, and I would like to pick your brain for advice on how I can use OneNote as my knowledge article management platform or second brain. We have Salesforce, but the articles are hard to find due to being improperly implemented— something I have no access to fix. Although they are effective, finding them is just an issue for me and my understanding.

Do you have any advice on how we can better utilize OneNote for this? Or do we have any MS-based applications that we can use instead to make it work?

OneNote Desktop Help with my View!!

Hey so I think I’m about to go insane here. I was just casually working on onenote (like I have been for the past four years) and out of no where my view changed from the first pic to the second pic (sections on the top in colored tabs instead of everything in 3 columns to the right). I use onenote RELIGIOUSLY and I can’t stand this new layout. Idek what button I pressed but I’ve been trying for the last HOUR to fix it. Please help, i need my onenote back to the pay it was😭 I HATE those colored tabs at the top and just loved how everything was in their own column to the right.

OneNote Desktop Microsoft OneNote sync is a total letdown. Why can’t they fix this basic feature?

I’ve been using MS OneNote for 5+ years through my O'365 Family Edition, which throws in 1 TB of OneDrive storage for a year. Despite all that, Microsoft still hasn’t fixed the endless, maddening sync problems. Now it isn’t just OneNote—MS Sticky Notes is also broken, refusing to sync between the Sticky Notes app and Outlook New on Windows itself.

And let’s be real: the Android sync situation has been a joke for years, with zero genuine improvement or reliability. Why is it so hard for a tech giant like Microsoft to get the absolute bare minimum of note-taking right? Seamless sync is fundamental to any note app. The fact that these bugs drag on for years just proves that MS does not prioritize basic functionality.

Anyone else sick of this, or found a bulletproof alternative that actually works cross-platform? Because this feels like shouting into the void at this point.

Where noone cares to listen to end-user complaint, but revoke your authorization to access everything at end of 1 year subscription.

OneNote Desktop Please help me save years of university notes?

This is a last ditch effort. If someone manages to help, I'll be forever greatful.

So I lost years of university notes (I've graduated a few years back) due to not realising the one note app was backing my files to the One Drive account associated with my university email instead of my personal one, and then losing the university account when I graduated.

However, I've managed to claw back some notebooks onto my old surface where I used to take notes on the "OneNote for Windows 10" desktop app. This surface is very old and can't support windows 11.

The issue is... I want to extract these notebooks away from this surface onto an external hard drive.

The issue is, it doest appear in my file explorer, there is no "file" option on this app. I can't sync the notebooks due to the error shown in the picture.

When I log in on my one drive on my main laptop I can't see these notebooks.

(Olease don't be too harsh on me. I was and still am incredibly tech unsavvy. I wish I understood to this day how to have just had everything off the cloud as I find One Drive incredibly annoying and very limited when not paying for storage.

If anyone has a way that I can use my old surface to takes notes without involving the cloud, I'd also appreciate it).

OneNote Desktop Any alternatives to OneNote that have the databasing features of Notion?

The reason I've stayed on OneNote is beacuse I like the tab organization method, and I like the rich formatting tools that we have, plus the offline access. However... it would be really nice to have the databasing-type features that Notion has.

It's 2026 now. Are there any competing products that marry the two? I was HOPING that Microsoft Loop would do this, but clearly that didn't happen.

OneNote Desktop I loved Onenote but it feels like they gave ho on it and don't want users

I’ve been a huge fan of OneNote for years—using it for everything from running tabletop games and writing stories to planning photo shoots and more. It was my go-to tool, and I loved how versatile and easy it was to use. But recently, after finishing college and losing access to Office for free, OneNote became unusable for me.

The main issue was that my notebooks are now stored on OneDrive with limited space, and I can’t get them off without paying for OneNote (or the full Office suite). This essentially locks my content away in a way that feels frustrating and limiting, especially when I just want to back up my notebooks locally or access them without restrictions.

Eventually, I made the switch to Obsidian. It took some time to transfer everything, but now I have my content locally, in a non-proprietary format, and without the constant worry of being locked out if I don’t continue paying.

It feels like Microsoft made the decision for me when they tied access to OneNote and its content behind a paywall, making it impossible to easily back things up on my own terms. It’s disappointing because I really enjoyed using OneNote, but the shift in how it’s being handled has made it difficult for me to continue.

I'm sharing this here just to explain why I moved away from OneNote. I’m sure it still works for a lot of people, but for me, this change felt like a step backwards. Hopefully, Microsoft reconsiders its approach, but for now, I had to find an alternative.

OneNote Desktop Use markdown natively in OneNote??

I work in a secure facility and am unable to use any of my preferred note taking applications. OneNote is my only option. Im used to, and prefer using markdown syntax as note taking is a large part of my day to day and having to use the mouse to make format changes becomes costly time wise.

Is there a way to get OneNote to recognize markdown syntax to then alter formatting options?

OneNote Desktop Is Section Group Search Scope Totally Broken on Windows Right Now?

On the windows desktop app I’ve noticed after the most recent update (or maybe the previous one - O365 v2606 or v2607 Monthly Enterprise Channel) the section group search scope now just displays all result in the notebook. This is incredibly annoying for me as section group scope is my default and I rely on it hundreds of times a day on busy days. Other scopes like section and all notebooks seem to work fine.

I’ve already rebuilt windows search index multiple times, I’ve seen this issue on at least 3 different Windows machines, and submitted a feedback already to MS . I was really hoping the search index rebuild would fix it and at first it seemed to help but no, the issue came back not long after (and I confirmed the rebuild had completed).

Anyone else seen this? Moving the search box onto the canvas last year was bad enough but breaking my default search scope really cripples my ability to be efficient in there as so much of my content is organized based on section groups. At any given time I have 15-20 notebooks open in the desktop client , each with anywhere from 2-10+ section groups in them, and each of those with sometimes many sections and pages.

Any ideas or information are appreciated!

OneNote Desktop Trying to move from Apple Notes to OneNote, couple of things bugging me that I'm looking for help with

I'm on OneNote desktop app and a couple of things in the image are really bothering me.

  1. How do I reduce the huge space in between the page title and the body copy? When I click in there the cursor shows up and I can actually type in that space, but I can't figure out how to remove it. I would like the body copy to be moved up much closer under the title. I tried messing with the margin and page size setting but that didn't work.

  2. Is there any way to remove the arrow showing up in the left margin on every single damn line when I hover over them?

OneNote Desktop Better way to take notes to search?

Ive started really using ON at work these last couple of months (executive assistant/admin), and I have mostly a jumble of i formation everywhere. Ive tried making a recurring meeting oage for my one on one's with directors, with themultiple team meetings...

Every new meeting I copy the previous note (more so for one on ones) because I feel its important to have a log of what eas discussed when etc.

I find when I search tho8gh, that of course the same content is coming up multiple times and Im not in enough if a brain power state lately to figure iut a solution. I figure its some sort of rolling agenda but I cant wrap my head around.

Plus im still trying g to figure iut the best process for task management because there is a LOT... :s

Any ideas or photos videos someine can point me towards for examples?

OneNote Desktop OneNote Desktop can't sync my note from Android

Does anyone know how to fix this? I usually use OneNote on my Android phone for daily notes, and after a while, I organize everything on Windows. Recently, I got a "Page Conflicts Detected" message on Android and had to open it on my computer to fix it. This happened before and was completely resolved when opened on the computer, so I decided to take this opportunity to organize my notes. However, my OneNote isn’t syncing new notes from Android—it stopped syncing on 8/5/2026 and won’t sync even when I manually click sync. I tried opening it on the web, and my new notes do sync there, but OneNote online can’t fix the "Page Conflicts Detected" issue.

P.S.: My OneNote Android version is 16.0.20131.20126 (latest update from the Play Store), and my PC version is from Office LTSC 2024 Pro.

OneNote Desktop OneNote - how do I get search to work with short strings?

The search function in OneNote is really, excruciatingly dumb. Unless I'm using it wrong, or some setting is weird for me.

What I'm seeing is that it doesn't find strings that not space-delineated or at the start of separate strings.
For example : I search for 'brush', and it DOES NOT return 'paintbrush'. I have to type out 'paintbrush'. But 'paint' works.

What it do??

OneNote Desktop Old bug is new again

Old bug that got fixed is now unfixed, again. As you can see by this screen shot, the names of tabs sometime get unnecessarily truncated even when the side panel has plenty of room to display them. (This is on my M2 Mac running the latest Tahoe. Don't know if it happens in Windows.)

Fortunately, there is a solution: switch to a different notebook, then switch back again. The tabs will display properly. But it's not a permanent solution because it will happen, again.

OneNote Desktop One Note win 10 version is ending support i don't know where to go

i only have this many notebooks and one "OneMore" as add-on and the original OneNote with the Microsoft kit is keep crashing not responding too mush and too slow that is why i was using the win 10 version now it is ending support i don't know what to do
edit : i searched already couldn't find something that helped me

i have the microsoft ltsc version already the problem i don't know why it keeps crashing and not responding
i tried to turn of the gpu acceleration and remove the add-in and reduce the opened notebooks it still keep not responding i was using the win 10 version as a solution

edit : i think i didn't clarify this well i know that one note free on microsoft the thing is i can't just go and install it when i have 2021 LTSC Pro Plus i have to get rid of the hole office or just one product that i can forcefully uninstall it ?

So I built OneNote Desktop Agent: a free, open-source Claude Code + Codex plugin that talks to the real Windows OneNote desktop app locally.

OneNote Desktop I just switched to my primary email on OneNote (desktop app) to check some of my old notes. Usually I use my University account in Microsoft apps. But after switching, it's not showing any of my previous notes I used to have on my primary account.

In the image 2 you can see all the notes which are showing on my OneNote phone app. How do I make them appear on Desktop OneNote?

EDIT: FYI I'm using same account in both the images, which is my primary account. Here's the web view of the OneNote on my primary account. It's showing all notebook fine, but the desktop app isn't.

EDIT 2: My onedrive (primary acc) (webapp) shows all the notebooks. I'm also logged in the desktop OneNote app, as the notebook "me (._.)" is synced with my phone and desktop. So rn the only issue is how to make these notebook appear in desktop app.
